Overview To perform office functions and provide administrative support for Health Services. Responsibilities + Appropriately triage all incoming inquiries and appointments in Health Services: This includes but is not limited to answer phones, respond to and triage all information coming into Health Services email and voicemail, schedule in-person patient appointments, greet all persons entering the Department of Health Services and ensure appropriate direction for patient flow. + Effectively organize all out-going information from Health Services, including voicemail message, email out-of office responses, and electronic letters sent from the electronic medical record and working with other departments as needed such as Human Resources and Environmental Health and Safety. + Work within the electronic health record (Cority) to initiate and maintain all records for students, employees, and laboratory volunteers, visiting scientists and contract personnel. This includes generating appropriate clinic visits, cases, data entry and scanning. + Participate in daily morning rounds and regular staff meetings. Write minutes for staff meetings and submit to the department administrator for review. + Distribute all required information to select core clerkship sites and external rotation sites as needed for School of Medicine, and Touro College of Dental Medicine and other clinical programs as needed. + Assist department administrator with scheduling and coordination of vaccine clinics, N95 fit testing clinics, and annual programs such as School of Medicine Transition to Clerkship and School of Medicine Intersession. + Assist department administrator with ordering and maintaining office equipment and supplies. Qualifications Education Requirement:Minimum Associate’s degree. Technical/Computer Skills:Proficiency in Microsoft Office Suite including Excel, Word, Outlook and Power Point. Prior experience working with electronic health records is preferred. Prior Experience:Minimum of 3 years’ experience in a medical office or other health services environment, providing administrative assistance. Physical & Environmental Demands:May be required to move file boxes. Shifting file folders from one drawer to another. Organize storage closet. Other Skills/Abilities: + Ability to learn new technical skills. + Excellent interpersonal skills. + Strong organizational skills and ability to prioritize multiple responsibilities. + Strong attention to detail. + Ability to seek, accept and incorporate effective feedback. + Ability to function effectively as a member of a team. Minimum Salary USD $54,592.38/Yr. Maximum Salary USD $55,632.38/Yr.
