Secretary IV - Emergency Dept.

Position Summary:

Under the supervision of the Chief of Emergency Services and the CMO, performs a variety of secretarial and record keeping duties to support the Chiefs and their Departments.

This is a full-time 40 hour/ week position

Responsibilities:

Performs general secretarial duties including setting up filing systems and cataloging.  Types reports, correspondence, and quality assurance material for Chief, Emergency Department physicians, and the Nurse Manager.  Distributes mail, screens incoming calls, referring emergency calls as appropriate.  Maintains Emergency Department library for use by the ED physicians. Establishes own work plan in organizing office and work assignments.  Resolves routine matters (complaints/correspondence, etc.) referring problems lacking clear precedent to supervisor prior to taking action. Assists Chief in the development, coordination, and management of the Department of Emergency Services. Provides initial patient contact regarding complaints concerning the Emergency Department.  Functions as intermediary with patients in resolving problems and determining severity of complaints. Assists in setting up doctors' monthly schedules, including arranging for vacations and last minute vacancies. Tracks and records sick calls Responsible for coordinating and preparing reports for Quality Assurance Program.  On a daily basis, prepares and coordinates chart information, distributes to physicians for review.  Tally results and forwards to appropriate physician.  Resulting information is prepared on a monthly basis.  On a quarterly basis, prepares and types report of the gathered information for presentation to the Quality Assurance Committee. Assists with research projects and performs other duties as required or assigned. Transcribes a variety of material including minutes, medical correspondence, including correspondence of a confidential nature.  Writes own correspondence as appropriate.  Assists with typing and miscellaneous correspondence for Emergency Department physicians and the Nurse Manager, such as schedules, forms, teaching aids, etc. Orders all necessary books, articles, and miscellaneous items for Chief of Emergency Services.  Orders Emergency Department supplies not ordered by Nursing. Makes travel and/or room arrangements for Chief of Emergency Services for scheduled conferences, seminars, programs, etc., and for other emergency physicians, as requested.  Prepares expense reports. May attend various committee meetings for the purpose of taking minutes at the request of the Chief of Emergency Services. Uses dictation equipment for transcription of correspondence, reports, minutes, etc., for Chief of Emergency Services. Maintains Emergency Department office in the absence of the chief. Performs other duties as required or assigned.

 

 

 

BASIC KNOWLEDGE/SKILLS/APTITUDE/EXPERIENCE:

 

Excellent shorthand and typing skills, word processing experience, and basic math and statistics skills.  Requires up to three years’ secretarial experience, preferably in a medical setting. Proficient in Excel and highly organized Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization may exist. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.  Must be able to reasonably make appropriate judgment in communications and actions with patient, physicians, other associates, outside agencies, and vendors.

 

Education/Experience/Licenses/Technical/Other:

Education:  High school diploma or equivalent required.  Associate Degree in Medical Secretarial Science preferred. Experience: Requires up to three years’ secretarial experience, preferably in a medical setting. Certification/Licensure: Software/Hardware: Other:
