Summary This position is located in the Farm Service Agency, Oklahoma State Office, located in Stillwater, Payne County, Oklahoma. Serves as secretary and personal assistant to the State Executive Director (SED) with responsibility for performing and coordinating a variety of administrative and clerical support functions necessary for the effective operation of the SED's immediate office and the State FSA Office (STO). Responsibilities Manages the administrative functions of the State Executive Director (SED) office. Receives and reviews incoming correspondence, reports, and other documents addressed to the SED, State Office (STO) and the State County Office (STC). Provides substantive information and resolves problems or inquiries pertaining to administrative operations and policies of the office. Serves as the liaison between the SED and other STO staff members. Independently composes responses to requests for general information and prepares letters of acknowledgement and commendation for the SED's signature. Receives and screens visitors and telephone calls for the SED's office, determining their nature and purpose. Responsible for managing and updating State Share Point Site Possesses advanced Microsoft Suite skill level. Requirements Conditions of Employment Qualifications Applicants must meet all qualifications and eligibility requirements by the closing date 10/17/2024 of the announcement including specialized experience and/or education, as defined below. For the GS- level 5: One full-time year (12 months) of specialized experience equivalent to the GS-4 grade level that demonstrates experience applying administrative rules and regulations to coordinate and perform clerical and administrative processes and functions of an office. In addition, experience which demonstrates knowledge of grammar punctuation, format and style to prepare correspondence, memorandums and other documents utilizing word processing and other automated systems. OR 4-year course of study leading to a bachelor's degree, OR a bachelor's degree in any field of study. OR A combination of education and experience. For the GS- level 6: One full-time year (12 months) of specialized experience equivalent to the GS-5 grade level that demonstrates: coordinating monitoring and performing clerical and administrative functions, duties, priorities commitments, policies, and programs of an office. In addition, experience demonstrating knowledge of grammar, punctuation, format, and style to prepare correspondence, memorandums and other documents utilizing word processing and other automated systems. For the GS- level 7: One full-time year (12 months) of specialized experience equivalent to the GS-6 grade level that demonstrates: coordinating monitoring and performing all the clerical and administrative functions, duties, priorities commitments, policies, and program goals of an office. In addition, experience demonstrating knowledge of grammar, punctuation, format, and style to prepare correspondence, memorandums and other documents utilizing word processing and other automated systems. For the GS- level 8: One full-time year (12 months) of specialized experience equivalent to the GS-7 grade level that demonstrates secretarial work to independently coordinate, monitor and perform all the clerical and administrative functions, to include time and attendance and travel regulations. In addition, experience coordinating the work of others and independently setting procedures and guidelines for others to follow demonstrating knowledge of grammar punctuation, format and style to prepare correspondence, memorandums and other documents utilizing word processing and other automated systems.
