Summary You will serve as a SECRETARY (OA) in the Naval School of Music in Virginia Beach, VA. of SCHOOL OF MUSIC. Responsibilities You will locate and selects the appropriate guidelines, references, and procedures for application to specific cases; and anticipates need for information, gathers, prioritizes and summarizes information when, responding to inquiries. You will be responsible for coordinating the work of the office with the work of other offices, and requirement to recognize the need for such coordination in various circumstances. You will Independently execute familiar assignments in accordance with directives, policies, and standard operating procedures for creating documents, entering or retrieving data, and established use of software packages. You will oversee delivery and routing of mail to students and staff; and ensures compliance with procedural and postal service requirements. You will have knowledge of correct grammar, spelling, punctuation, capitalization, and format to prepare and edit written correspondence and reports. You will knowledge of programs as they relate to administrative and clerical support function (e.g. Microsoft Excel, Word, PowerPoint and outlook, and records management systems). You will knowledge to obtain and monitor a full range of office support services such as printing, maintenance, and supply services. You will have knowledge requiring coordinating internal departmental work with external work. You will have the ability to be fully responsible for coordinating the work of the office with the work of other offices. You will have knowledge of the DOD and DON Government Purchase Card Program. You will have working level knowledge of policy and procedures for delivery orders and small purchases. You will have knowledge of performing clerical and administrative support functions for travel management in JTR. Requirements Conditions of Employment Qualifications Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-05 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following:1) Preparing a wide variety of personal and executive correspondence, reports, and other documents. 2) Monitoring Monitors official visitors, receives telephone calls, and greets visitors for the Commanding Officer and organization.3) Developing establishes, updated, and maintains office procedures and records or files various types of correspondence to ensure effective and efficient operation of the Executive Office. 4) Maintaining Commanding Officers calendar, coordinates meeting arrangements, and schedules meetings and symposiums including those involving external staff personnel.
