Job Title: Staff Accountant
Reporting Relationship: Chief Operating Officer/CFO
Schedule: Monday through Friday 8:00 a.m. to 5:00 p.m. (or similar schedule)
Primary Accountabilities:
Reporting to the Finance and Grants Manager, the Senior Accountant is responsible for assisting the Finance and Grants Manager manage the day‐to‐day financial operations. The position is a member of the finance management team which includes the Finance and Grants Manager and the COO/CFO. This position works with the finance management team in successfully managing the finance functions for the organization. This position helps develop and ensure compliance with organization’s accounting policies and procedures and assists the finance management team in directing the overall financial plan of the organization. The position ensures accurate and timely financial and grant reporting.
Major Responsibilities:
· Performs monthly close and associated management reporting and analysis. ∙ Facilitates annual A‐133 audit and collects all required documents.
· Prepares grant financial reports for finance management team approval and assists with grants financial management reporting and tracking.
· Prepares weekly and monthly reports and submits to program managers and other staff in a timely manner.
· Oversees weekly reconciliation of bank and credit cards transactions.
· Organizes and maintains accounting and financial files and records.
· Monitors compliance with internal polices related to cash disbursement as well as external rules, regulations and laws with which Community Care must comply.
· Files quarterly and annual regulatory filing, including but not limited to, state and federal tax withholding.
· Identifies issues and recommends improvements to policies and processes related to financial activities.
· Supports the annual budgeting cycle including analysis and identification of trends.
· Conducts new hire training of accounting policies and expense reporting systems. ∙ Supports primary accounting processes including cash disbursements, accounts receivable, expense report processing, payroll and monthly account reconcilement.
· Resolves payable and receivable discrepancies.
· Works with all staff to provide timely information, exemplifies the Community Care code of ethics and collaborates on teams and projects.
· Assists finance management team with technical assistance to health center finance staff.
· Coordinates all payroll activities, including recording time sheets, ensuring employee payment, appropriate withholdings, and payment of appropriate taxes and other deductions.
· Serves as the primary lead for HCCN grant and Alliance for Healthy Kansans (AHK) department including but not limited to attending meetings, helping with policies & procedures, completing financial reports and preparing budgets.
· Assists with reports and entries for KPCC.
· Works with finance and operations staff on improving finance, accounting, banking and business operations processes.
· Ensures governmental compliance, including satisfying all requests for information and surveys from outside entities, including but not limited to payroll, finance and operations.
· Oversees annual business insurance renewal.
· Works with finance management team to identify bookkeeping, administrative support and outsource opportunities and well as helping with oversight of duties performed. ∙ Documents all procedures and financial notes in OneNote.
· Works with finance management team to utilize current and new technology to improve and automate processes and track tasks. Thisincludes, but is not limited to, Smartsheet, OneNote, Office TSheets, Quickbooks, Microsoft Teams and other technology as identified.
· Attends Finance Committee and other finance meetings as requested.
· Works with all staff to provide timely information, exemplifies the Community Care code of ethics and collaborates on teams and projects.
· Conducts new hire and ongoing training for accounting policies as well as accounting procedures. ∙ Assists with overlap between Payroll and HR such as employee benefits.
· Assists Finance and Grants Manager with business operating practices and procedures. ∙ Attends all Business, Operations and Finance meetings.
· Participates as an active member of the Community Care team by developing an overall breadth of knowledge involving all of the Community Care activities and by working together to develop cooperative programs when possible.
· Updates job knowledge by remaining aware of new regulations and best practices; participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
· Assists finance management team with technical assistance to health center finance staff.
Qualifications:
· Bachelor’s degree in accounting or a related business field is required.
· Three to five (3‐5) years of direct accounting experience.
· Understanding and ability to adhere to generally accepted accounting principles.
· Ability to travel as needed within the state and to attend national meetings (limited travel is expected).
Preferred Qualifications:
· Master’s Degree in Accounting or a related business field.
· Proficient in QuickBooks, Microsoft Office Suite or similar software.
· Five or more years of accounting experience preferred.
· Experience with federal grants management.
· Extensive knowledge of general financial accounting and cost accounting.
