ACCOUNTABILITIES \r\n
The Accountant manages the financial operations of the organization, ensuring compliance with accounting standards and regulatory requirements for a not for profit, charitable organization. The role involves maintaining accurate financial records for multiple activity portfolios, bank reconciliations, preparation\/oversight of payrolls for fulltime, part-time, seasonal, and contract employees, management of accounts payable\/receivable, bookkeeping, financial controllership, preparing reports, and supporting external audits. The ideal candidate has a strong accounting background and a flair for operating as a solo financial manager in a small-team not for profit environment. We use NewViews accounting software; prior knowledge\/experience a decided asset.\r\n

KEY RESPONSIBILITY AREAS\r\n
\r\n
Financial Management\r\nPrepare and maintain accurate financial records, including general ledger entries, accounts payable and receivable; there are eight separate general ledgers, and very high volumes of entries depending on seasonality\/activities in field.\r\nManage payables and receivables, ensuring we are current, payments are properly recorded and approved, and that all invoicing has been received in a timely manner.\r\nManage payroll\/benefits\/retirement deductions, preparing\/executing of payments, relevant entries to respective general ledgers, filing all source deductions and benefits top-ups, and ensuring proper documentation of employee compensation\/deductions. Volumes: bi-weekly payroll for 28 staff, contractor monthly payroll for 35-40, seasonal bi-monthly payroll (May-August) for 70. Prepare\/file all related regulatory reporting including T4 slips\/supplementary, EHT, WSIB ROE forms. Liaise with benefits provider as required.\r\nReconcile multiple bank accounts with incoming on-line payment systems and posted expense accounts on a monthly basis.\r\nMonitor cashflows and ensure excess funds are invested in fixed asset, interest bearing instruments. Reconcile interest paid on a regular basis for quarterly\/year end reporting.\r\nEnsure the entity\u2019s insurance coverages and other risk prevention measures are current and in force without interruption.\r\n\r\n
Budgeting and Reporting\r\nBudget preparation for the overall entity, assisting portfolio managers to prepare their budgets for roll-up, monitoring financial activity on a monthly basis, and variance analysis identification and remediation.\r\nPrepare monthly, quarterly and annual financial reports for internal and external stakeholders.\r\nDevelop and monitor budgets in collaboration with the executive director\/management team.\r\nOversee\/update the capital asset reports and amortization schedules.\r\nGenerate reports for government compliance, and ad hoc requests for grant funding, wage enhancements, City of Toronto, and donor requirements.\r\nPlan\/execute the closing of our books at year end. Ensure payables\/receivables are presented for disbursement or booked as accruals\/prepaids. Plan\/execute all the year-end adjustments from every portfolio, to properly reflect financial activity occurring in the current fiscal year.\r\n\r\n
Compliance and Auditing\r\nEnsure compliance with the Canada Revenue Agency (CRA) and other regulatory bodies, including preparation of annual T3010, HST, WSIB, and Province of Ontario annual report filings.\r\nPrepare RMPA\u2019s financial records for presentation and scrutiny with our external auditor. In conjunction with the board treasurer, liaise with auditors in advance to understand their requirements and deliverables. ie: necessary documentation, upload requirements, special request reporting, and analysis, as and when required (year end = August 31).\r\nMaintain accurate records of restricted and unrestricted funds, ensuring adherence to donor and other policy restrictions.\r\n\r\n
Organizational and Other Duties\r\nRespond to financial inquiries from staff and other stakeholders. Provide training and information to staff, as required.\r\nOversee\/manage the procurement and purchasing practices and policies, seeking efficiencies and working through staff\/portfolio leaders to facilitate updated processes.\r\nStay updated on changes in non-profit accounting standards and regulatory requirements.\r\nAdhere to all RMPA policies and procedures and ensure confidentially is maintained on clients, personnel, and financial matters.\r\nRepresent RMPA at all times in a professional manner. Work cooperatively with colleagues and team members.\r\n\r\n
