Senior Administrative Assistant, Department of Surgery

The Department of Surgery at the University of Virginia seeks applicants for a Senior Administrative Assistant. This position performs advanced, diversified, and confidential administrative duties supporting faculty members in departmental and institutional leadership positions.

Primary hours are 8-4:30pm, and the position will be on grounds in Charlottesville Monday thru Friday.


Responsibilities include:

Scheduling and maintaining a calendar of appointments, meetings, and travel itineraries;Preparing agendas and taking meeting minutes;Facilitating high level recruitment itineraries;Preparing and composing routine correspondence, memoranda, and reports;Providing advanced administrative coordination to support office operations and special projects;Reviewing and answering correspondence, screening callers and visitors, and handling confidential matters;Facilitating communication across the department and institution, with alumni and the general public;Managing electronic files, producing reports, and tracking expenses;Incumbent must exercise discretion in handling confidential, sensitive, and timely information;In addition to the above job responsibilities, other duties may be assigned.

MINIMUM REQUIREMENTS

Education: High School diploma. Bachelor's may substitute experience.Experience: Four years of relevant experience. Bachelor's degree may substitute for years of experience.

PREFERRED REQUIREMENTS

Demonstrated proficiency in all Microsoft Office applications4 years of experience supporting executive or senior level staffProven experience as a Senior Level Assistant or similar roleExcellent organizational and time management skillsDetail-oriented with skills in communication and organizationStrong written and oral communication skillsAbility to multi-task and discern prioritiesAbility to work independently and part of a team

The position will remain open until filled. The anticipated hiring range for this role is: $19/hr-$27/hr.  Compensation will be dependent upon qualifications.

The University will perform background checks on all new hires prior to employment.  A completed health screen is required for this position.
