Overview The Senior Administrative Assistant is responsible for providing administrative support, with strict adherence to confidentiality and oriented to maximizing the effectiveness of the company’s senior management executive. ESSENTIAL FUNCTIONS/DUTIES • Provide administrative support to executives as directed including answering telephones, maintaining personal schedules, coordinating meetings, preparing expense reports and managing consequences. • Answer and screen needed executive level calls for urgency, set priorities, take accurate messages and channel them to the proper contact individual. • Analyze and route internal and external calls to the proper resource. • Coordinate, confirm, and track employee’s travel or lodging arrangements. • Track and maintain PTO records and requests for the company officer. • Schedule, verify and participate as necessary in meetings and appointments including making travel arrangements and accommodations for attendees, preparing conference rooms and arranging meals • Plan, coordinate and participate as directed in meetings inclusive of meeting minutes and action items tracking for both on site and other off-site meetings . • Copying, typing, sending/receiving and distribution emails, sort, distribute and respond to mail, send certified mail, greet visitors, set up and maintain file system, interoffice mail, overnight mail, frequently check out box and process work, etc. • Research and compile reports, proposals and presentation materials. • Receive, sort, facilitate dissemination of incoming mail and information to department personnel. • Maintain, scan, and index various agreement files and documents retrieval system. • Process Accounts Payable, Accounts Receivable requests as well as provide account reconciliation support (credit card, vendor account, etc.) • Adhere to all company policies and procedures. • Adherence to and compliance with information systems security is everyone’s responsibility. It is the responsibility of every computer user to: Know and follow Information Systems security policies and procedures. Attend Information Systems security training, when offered. Report information systems security problems. • Perform other duties as assigned. QUALIFICATIONS Education/Licensing/Certification • Associate’s degree or equivalent experience. Experience • Three (3) to five (5) years experience as an assistant supporting a company executive. • Three (3) to five (5) years experience with phone, tracking, interpersonal and pro-active and self automate new projects. • Two (2) to three (3) years Experience with basic accounting/bookkeeping. Knowledge and Skills • Knowledge of Microsoft Word, Excel, Power Point, Access, Visio and Outlook required. • Type 60 words per minute.
