Reporting to the Executive Administrator to the Divisional President, the Diagnostic Solutions Sr. Administrative Assistant is responsible for performing and coordinating a variety of administrative tasks, in an office setting. Interacting with executive level leaders and partners across all functions, the Sr. Administrative Assistant will provide support to executive-level employees in the organization.
The successful candidate will possess strong abilities to partner effectively across multiple departments with an enterprise mindset and the ability to provide high level of consistent, administrative support to senior leaders in our Diagnostics organization. This role requires excellent communication skills, the capability to manage and execute projects with teams from various functional areas, and a proven track record of driving results through collaborative efforts. The successful candidate will be self-driven, have excellent organizational skills along with the ability to prioritize tasks and meet deadlines This site-based position will serve as a backup for the Executive Assistant to the Division President.
Essential Duties and Responsibilities
The incumbent may be asked to perform other function-related activities in addition to the below mentioned responsibilities as reasonably required by business needs.
Prioritize daily tasks and requests according to individual goals, deadlines, and business needs. Support procurements with purchasing card use and reconciliation, populating requisitions, and processing contracts in partnership with the legal team. Support meeting and event coordination to include, logistics, IT support and catering. Coordination of domestic and international travel arrangements on behalf of multiple VPs. Expense report submission on behalf of multiple VPs. Manage daily tasks such as ordering office supplies, processing invoices, and filing. Provides administrative coverage for other team members as necessary. Additional responsibilities as assigned.Qualifications
High School Diploma or equivalent Minimum 10 years administrative experience supporting executive level leaders.Skills
Excellent communication skills, both written and verbal. Strong organizational and time-management skills, with the ability to prioritize tasks effectively. Attention to detail and accuracy in all work. Ability to work independently with minimal supervision and as part of a team. Discretion and confidentiality when handling sensitive information. Proven experience as an administrative assistant, data analyst, or similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Preferred intermediate knowledge of excel, particularly working with data importing and exporting, and use of pivot tables. Prior database experience a plus. Ability to develop and maintain open communications with leadership and peers. Ability to be flexible in resolving last-minute requests, meetings, and unforeseen calendar changes with ease. Proven success working in a fast-paced environment demonstrating the ability to simultaneously manage multiple competing tasks and demands.The annualized base salary range for this role is $81,100 to $126,800 and is bonus eligible. Final compensation packages will ultimately depend on factors including relevant experience, skillset, knowledge, geography, education, business needs, and market demand.
