Senior Administrative Assistant

About this role:

Wells Fargo is seeking a Senior Administrative Assistant in Corporate & Investment Banking.Corporate & Investment Bank (CIB) delivers a comprehensive suite of banking, capital markets and advisory solutions, including a full complement of sales, trading and research capabilities, to corporate, government and institutional clients. In this role, you will:

Support performance of less experienced Administrative Assistance staff and overall effectiveness of team in performing moderately complex to complex administrative tasksBe responsible for compiling information, preparing moderately complex reports, and balancing routine general ledger lines or expense accountsPerform complex administrative, transactional, operational, or customer support tasksProvide a high level of professional support which includes a balance of more experienced level administrative work as well as ongoing ad hoc and project or business initiatives such as planning meetings, tracking deliverables and pulling routine reportsAssist with selectively referring callers, and answering questions regarding business unit policies and proceduresProvide subject matter expertise and interpretation of administrative procedures to less experienced staffProvide administrative supervision and support to managers in the areas of reporting, customer or business documentationInteract with immediate Administrative Assistant team, functional area, and internal peers regarding routine administrative tasksSupport more experienced level leaders with daily administrative tasks and interact with more experienced leaders across the organization


Required Qualifications, US:

4+ years of Administrative Support experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education

Proficient knowledge of Microsoft Office SuiteExpert knowledge of Concur Travel and Expense SystemExpert understanding of role as it relates to CIB expense policy standards and proceduresComplex calendar management and appointment scheduling for multiple leadersCreate, own and manage team distribution lists as neededCoordinating complex travel arrangements and expense report processingReceive and distribute office mail; prepare packages for pickup and deliveryManage, create and distribute reports and meeting documents for organization leadersAnswering and directing phone calls, visitors, and other internal team membersProcurement—business cards, office supplies, etc.Liaise with internal business partners including but not limited to IT, SCTS, ON/OFFB team for all technology requests and needs. Support LOB in organizing events such as charity, customer facing, and office eventsFacilitate any needs to address suite/building issues that arise for the organizationManage inbox for various LOB leaders while maintaining discretion of privileged informationWorks closely with both internal and external customers to meet their service needs.Responsible for providing support to the business line staff in the areas of preparing/organizing business documents such as decks, agendas, reports, pitch booksPerforms complex administrative tasks for a manager, department, and/or business unit.Acts as liaison for LOB leader and direct reportsCoordinate with reception and CIB Infrastructure Support team to onboard and off board team members in LOB. Serve as backup to administrative support team members in and out of assigned region and LOB.Point of contact for records retention.i9 approver for Wells Fargo staffManage varying quantities of expense reporting on a monthly basisProvides project management administrative support for LOBProcesses requests in Ticket Management SystemProcesses requests in Global Pre-clearance SystemAct as proxy for various internal approvalsProvides support and facilitates larger projects managed by others and may manage moderately complex projects.Acts as an information source on group and company policies.Process charitable contribution sponsorships and invoice requestsReceive office visitors and secure building access for internal team members and external clientsParticipates in planning/executing a variety of programs, services and initiatives. Examples might include, but are not limited to process improvement, change management initiativesParticipates in integration/ program implementation of services/initiatives with cross-functional business partners.Ensures plans/programs adhere to appropriate policies and regulations.Coordinate with Daily Operations and Facilities the onboard and offboard of employees

Reflected is the base pay range offered for this position. Pay may vary depending on factors including but not limited to achievements, skills, experience, or work location. The range listed is just one component of the compensation package offered to candidates.

$27.74 - $49.38
