Are you a highly organized, detail-oriented professional with excellent multitasking skills? Robert Half is looking for a Senior Administrative Assistant to provide essential support to leadership and departmental teams within a fast-paced, dynamic environment. In this role, you’ll handle complex administrative tasks, oversee office procedures, and serve as a vital resource for ensuring operations run smoothly.
Key Responsibilities:
+ Executive Support: Provide high-level administrative assistance to executives or senior management, including calendar management, travel coordination, and expense reporting.
+ Meeting Coordination: Organize and prepare materials for meetings, take detailed meeting minutes, and distribute to relevant stakeholders.
+ Office Management: Maintain office systems, including filing, record-keeping, and supply inventory, while ensuring policies and practices are followed.
+ Communication: Act as a liaison between executives, departments, and external stakeholders, handling inquiries with professionalism and confidentiality.
+ Reporting and Analysis: Create, update, and maintain reports, presentations, and spreadsheets to track projects and operational goals.
+ Process Improvement: Identify opportunities to streamline administrative workflows and implement efficiency measures.
+ Event Coordination: Plan and coordinate internal events, team-building activities, and training sessions as needed.
+ Onboarding Support: Assist in onboarding new team members by preparing materials, coordinating training, and setting up systems.
Requirements
+ High school diploma or equivalent; bachelor’s degree in business administration or related field preferred.
+ 5+ years of administrative experience, with at least 2 years in a senior or executive-level support role.
+ Exceptional time management and organizational skills with the ability to manage multiple priorities.
+ Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools.
+ Strong interpersonal and communication skills, both written and verbal.
+ High degree of professionalism, discretion, and confidentiality.
+ Experience with scheduling tools, project management software, and CRM systems is a plus.
+ Proactive and resourceful problem solver with keen attention to detail.
