Job Summary:
The Marathon Kenai Alaska Refinery has an opening for an on-site Senior Administrative Assistant position. This position will proactively provide a full range of administrative support to the General Manager of the Kenai Refinery and supplementary support as needed to the local and functional teams of Refinery Leadership Team. The available schedules for this on-site position are 9/80 or 5/40.
Key Job Responsibilities:
Perform a variety of administrative duties to assure the efficient operation of the office and that the General Manager is afforded optimum utilization of time and effort.
Prioritize work effectively, meets deadlines, while anticipating needs and requirements. Support proactively the assigned leader(s) in all assigned responsibilities, take direction from multiple staff members and balancing the needs of the group.
Manage the leader’s calendar, coordinate team calendars, schedules, and coordinates logistics for internal and external meetings. Arrange travel schedules, travel itineraries, reconcile T&E expenses.
Able to effectively partner and coordinate meetings with third party strategic partners.
Schedule, plan, and organize all logistical details for in-house and off-site meetings, etc., as needed.
Lead committee that coordinates off-site employee engagement events including summer picnic and holiday appreciation dinners.
Maintain proper flow of communications. Read, select, and pass mail (whether hard copy or electronic) to General Manager, forwards remaining mail to other offices. Answer General Manager’s telephone to take and relay messages or refers calls to other individuals and furnishes some information to authorized personnel in response to inquiries when requested.
Handle confidential data and matters in a discreet and professional manner.
Work as a team player with other assistants and teams.
Perform special project tasks as required.

The successful candidate will be able to carry out all assigned responsibilities and balance the broad, varied, and in some cases complex needs of multiple individuals with minimal guidance and supervision . The candidate must be able to handle multiple organizational needs and priorities in a calm, professional, confidential, and confident manner while maintaining a positive attitude. The candidate must be a team player and eager to work with, support and back up administrative assistants in the area. The successful candidate will be highly self-motivated with strong organizational and interpersonal skills, as well as interact with internal and external stakeholders professionally.
Education, Experience and Skills
Minimum Qualifications
Must have a high school diploma. (Education must be obtained/completed prior to start date) (Degree must be accredited in US.)
Must have at least 5 years of administrator assistant experience or related experience.
Must be proficient in Microsoft: Word, Excel, PowerPoint and Outlook.
Must be able to wear appropriate PPE in the refinery, be able to physically perform all tasks and take hair drug test and physical.
Must have a valid driver’s license. (MPC determines valid status.)
Must be able to obtain a TWIC Card.
Must be legally authorized to work in the US without the need for future VISA sponsorship.
Travel Requirement is 5% or less.
The available schedules for this on-site position are 9/80 or 5/40.
Minimum Skills
Strong verbal and written communication skills.
Excellent interpersonal skills and a preference for collaboration, including proven success working with others; ability to work with high profile individuals internally and externally.
Ability to work in a fast-paced and sometimes unpredictable environment; be proactive; work well under pressure and tight deadlines; proven ability to juggle multiple projects.
Proven analytical and problem-solving abilities.
Highly organized, detail-oriented and self-motivated.
Flexible and willing to help out the team when requested.
