The Senior Administrative Assistant performs a broad range of administrative duties to support the facilitation of administrative workflow within the department. This individual may support one or more staff members and/or management.
Duties and Responsibilities:Screens and prioritizes calls and appointments. Routes inquiries to other levels of the organization as appropriate. Maintains the calendar, schedules appointments and meetings, and makes travel arrangements.Plans meetings and social events by coordinating meeting rooms, arranges the catering, entertainment, inviting attendees, facilitating their attendance, and ensuring that required informative materials and equipment are provided.Formats, types and edit correspondence, narrative and statistical memoranda, reports, and presentation materials. Compose minutes of meetings and routine business correspondence.Establishes and maintains filing system and records for the office. Prepares slides and charts, researches, captures, sorts, compiles, and coordinates information from files, from other departments and offices, from outside organizations, etc. for special reports, presentations, and information requests.As needed, provides assistance to other key executive staff.Distributes and disseminates information within the department.Orders supplies and arranges for equipment maintenance. Submits, monitors and tracks invoices, reimbursements, and supply management. May assist with preparation and submission of expense reports.May act as or support the Safety Representative and/or Kronos editor within the department.QualificationsEducation:
High school diploma/GED required. Associate's degree/College degree in Business, Accounting, Healthcare Administration preferred.
Experience:Three (3) years progressive experience in Administration environment preferably supporting executive level required.
