What we want The Senior Administrative Coordinator works under the direction and coordinates administrative support for a unit or specialized activity to include the exercise of discretion and independent judgment concerning matters of significance. Supervises assigned staff.
What you need to know
Salary: Compensation will be commensurate to selected hire’s experience.
Required Education and Experience:
+ Bachelor's degree or equivalent combination of education and experience.
+ Seven years of experience in office administration.
Required Knowledge, Skills, and Abilities:
+ Knowledge of word processing, spreadsheet, database, and presentation applications.
+ Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.
+ Ability to multi-task and work cooperatively with others.
+ Strong interpersonal, planning, and organizational skills.
+ Excellent verbal and written communication skills.

Responsibilities:
+ Administrative Support: Manages the Department Head’s calendar of meetings and special events; organizes campus-level meetings with constituents as required; anticipates future schedule conflicts and take the initiative to resolve them promptly. Manages highly confidential information with an appropriate level of discretion. Coordinates Tenure and Promotion Packets (Interfolio). Coordinates Department Budget planning with the Office of Business Affairs. Manages travel arrangements and process reimbursements for faculty, staff, students, and guest speakers through Concur (i.e., reserve hotel, airfare, car rentals, etc.). Coordinates graduate faculty appointments with Office Graduate and Professional Studies for submission to the Graduate Faculty Portal. Manages hiring paperwork for faculty and adjunct hires through the Dean of Faculties Portal and as needed in WorkDay. Manages Department Hiring for faculty, Staff, Student Assistants, and Graduate Research Assistants. Assists with the oversight of Graduate Teaching Assistants and Student Assistants especially regarding timesheets, tuition, etc. Maintains and updates the department website through CMS.Oversees training for staff and student assistants in Concur, AggieBuy, Famis, BAM, Howdy, Compass, DocuSign. Facilitates faculty CV updates, and upload to Quick Base for Department Website. Collects and files all syllabi each semester. Provides direct support for the Ph.D. Program, Health Services Research. Maintains and updates the Ph.D. program website. Coordinates student logistics with the School of Public Health Office of Student Services, TAMU Registrar, TAMU Business Services, TAMU ISS, TAMU Graduate and Professional School. Works collaboratively in a cross-functional team environment. Participates in the planning and execution of administrative operations. Establishes goals and objectives of administrative operations.
+ Manage/Plans/Reports: Plans, implements, coordinates, analyzes, monitors, and evaluates administrative support functions. -Analyzes internal processes and times lines and recommends and implements procedural or policy changes. Assists in the development of budget. Formulates, interprets, and/or implements management policies or operating practices. Develops administrative and technical procedures. Recommends guidelines, policies, rules, and regulations. Monitors compliance with policies and procedures. Performs special analyses and project summaries. Prepares and reviews operational and special reports. Makes recommendations for process improvements, administrative changes, or new initiatives. Plans and conducts meetings, workshops, and/or training program. Manages department property which included over 150 assets (i.e., PC, iPad, printer, monitors, etc.). Manages approval and review of degree plans, tuition waivers, petitions, and dissertation committee members for the Ph.D. program. Manages all logistical aspects of the Ph.D. Committee, including scheduling interviews with students.Performs other duties as assigned.
