About you and this role: Dowhas an exciting opportunity for aSenior Administrative Specialistlocated inMidland, MIorFreeport, TX. In this role, you will provide administrative support to Dow’sVP of Research & Development, Packaging & Specialty Plastics and Hydrocarbons,in a close relationship, exercising sound judgement in a variety of situations, both internal and external, with exceptional communication, administration, and organizational skills. You will independently manage multiple priorities and projects to successful completion while maintaining confidentiality and sensitivity. You will anticipate the needs of both the leader and work environment, using strategic and critical thinking to offer solutions to problems with a high level of professionalism and confidence. In partnership with PSP&H R&D operations, PSP&H R&D Human Resources, and the PSP&H R&D strategy leader, you will guide the R&D resources of the division to improve their effectiveness and impact through the nurturing of the organization. Responsibilities: + Provide strategic administrative support with a superior attention to detail directly to the leader, exercising confidentiality, tact, and diplomacy. Confidently able to handle sensitive and confidential information with integrity and discretion. Independently work on assignments that are complex in nature where considerable judgement and initiative is needed in resolving problems and making recommendations. Have a strong sense of ownership, bias for action, and able to work accurately when under pressure to meet tight deadlines. Responsible for a wide range of activities including management of a fast-changing and complex executive calendar, tracking key deliverables, and leading the coordination of frequent global travel. + Oversee and manage the planning and implementation of global meetings, conferences, teleconferences, and managing large-scale events. Act as the focal point for agendas, briefings, presentations, logistics, conferencing, and guest arrangements. Arrange all necessary preparations and follow-ups to meetings, including timely notification, preparation and distribution of meeting materials, and appropriate reminders. + Use people knowledge, foresight, and emotional intelligence to communicate clearly, manage conflicts, resolve issues and be strategic when providing support. Understand handling of sensitive and confidential information and be trusted to maintain strict confidentiality. Build a deep and trusting, long-term partnership with leadership. Trusted to be the voice of the executive as needed. Work closely and effectively with the executive to keep them well informed of upcoming commitments and responsibilities, follow up appropriately. + Coach transparently, answer questions honestly, knowledgeably, and appropriately. Demonstrate credibility and trustworthiness and encourage admins to lead within their own department or function. Make recommendations based on understanding the business/function and its culture. Participate in the development and implementation of administrative standards, policies and practices that impact the company. Demonstrate confidence in front of groups, senior leaders, and when leading teams. Competent understanding of organizational structure, leaders' responsibilities, and the wherewithal to make decisions consistent with authority. Show respect and inclusion of others. Act as liaison between the leader, other leaders, and external groups. Support a team environment. Leverage resources in a manner that ensures accountability in meeting deadlines. Active participant in the global PSP&H R&D I&D team. Demonstrated ability to independently navigate organization in support of completing tasks. + Manage domestic and international travel and related client/supplier/other meetings including travel visas, security, and working directly with Executive Travel on air and ground transportation. Arrange complex and detailed travel plans, itineraries, meetings, and agendas utilizing company discounts, cost effective accommodations and prepare expense reports accurately and timely. Compile documents and briefings for travel-related meetings. Familiar with foreign business culture. + Manage access to the leader through co-ownership of leader’s calendar and email, acting as gatekeeper to effectively manage leader’s time. Independently manage conflicting calendar priorities. + Schedule and coordinate arrangements for leaders who are speakers / presenters / panelists at professional conferences, speaking engagements, and seminars. + Proficient with Dow's systems, as well as with key technology as they relate individually to each business/function. Ability to quickly learn new internal electronic systems, and to share knowledge with others. Technology comprehension with the ability to provide input and feedback on systems and applications to improve efficiency and productivity. + Provide delegated authority services on behalf of the leader. Manage TER reporting, review and approve TERs on behalf of leader. Able to inform individuals of discrepancies and provide coaching on proper procedure. Ensure employees adhere to company policy requirements including Dow's Code of Business Conduct. + Advocate for Dow's safety behaviors and lead by example. Identify potential safety and security issues and work with security to resolve. + Must be able to set priorities and have the ability to simultaneously handle multiple tasks. Qualifications: + A minimum of a High School Diploma or GED or equivalent. + A minimum of 7 years of experience in an administrative position. + Prior experience working with senior leaders. + Willing and able to work outside of normal business hours as business needs dictate. + A minimum requirement for this U.S. based position is the ability to work legally in the United States.
