As the Senior Administrator – Operations you will provide operational and administrative support at the facility level. This includes counting stock, processing and running reports, determining purchasing needs for supply department, maintaining customer information, generating invoices, and handling telephone inquiries and orders. You will assist with tasks to ensure location is compliant with corporate controls and processes. While completing administrative projects as requested.
Responsibilities
Primary job duties will be administrative support to the operations team. Conducts inventory control procedures, including maintaining inventory files, updating and generating reports, assisting in product cycle counting, and control of non-conforming products. Assists with coverage, training, and development of other administrative professionals around the region. Maintains return authorization and credit memo forms pending return of material. Files and researches freight claims when appropriate. Assists with building maintenance and security, including running security code reports, equipment maintenance and maintaining office/warehouse supplies. Runs and distributes various location reports such as cycle count variance reports, fleet reports, and security reports. Assists with tasks to ensure location compliance with audit procedures. Processes warehouse-receiving paperwork and schedules receiving appointments. Works with Health and Safety regarding any issues or incidents at the facility. Enters data including reporting, inventory adjustments and stock in-and-out. Answers incoming supply, receiving, or purchasing calls. Assist in warehouse order processing, shipping, receiving and general material handling. May assist Accounts Payable with invoice reconciliation and discrepancies. Reconciles P-card transactions, fuel card receipts, prepares commercial invoices for international shipments, checks invoices/coding and submits to Accounts Payable team for payments. Supports resolution in different operating systems for over, short, and damaged inventory items.Qualifications
