The Senior Assistant, Community Events and Partnerships (CEP) works to oversee the administrative needs and supports the Directors of Community Events and Partnerships within the Jimmy Fund. This position participates in event fundraising activities as needed and coordinates department needs. Responsible for assisting the entire Division with reaching financial goals.

ResponsibilitiesAdministrative Support:
Support the Directors, CEP with administrative needs, including, but not limited to the following:Create/maintain organizational and management systems;Create and distribute agendas, briefings, meeting notes, call reports, and monthly status reportsSupport various program budgets and assist with fiscal year projections, expense tracking, and process vendor invoices;Participate in ad-hoc special projects;Manage the monthly reconciliation of team credit cards and expense reportsDraft and manage written materials such as solicitations, acknowledgments, and invitations to events. Proofread/edit written materials as needed. Provide excellent customer service support for CEP event phone lines and email inboxes. Respond to calls from volunteers, donors, prospects, staff, as well as general inquiries. Evaluate urgency, suggest appropriate response, and assess when situation merits supervisory assistance.Keep accurate and detailed records of all inquiries and donor communications.Process and deposit event and program donations as needed.Develop expert knowledge of management systems and databases including ClearView, Luminate Online, PeopleSoft, and Event Management System;Event and Programmatic Support:
Supports the CEP team in raising $15M+ annually by providing key administrative support for a robust portfolio of signature events and programs.Provides key administrative support in managing donor data bases and online fundraising platforms for signature events and programs.Other duties as assigned for events and fundraising programs, including providing on-site support for events as neededSUPERVISORY RESPONSIBILITIES:
This position may have direct supervision of temporary staff and volunteers but will seek major decision-making authority from direct supervisor. However, decision-making on day-to-day tasks and good judgment is required for dealing with Institute donors, trustees, and senior staff and confidential information.
QualificationsHigh school diploma or equivalency required. Associate/Bachelor degree preferred. 1-3 years relevant administrative work experience.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
The ideal candidate will be a proactive, organized, and efficient professional with excellent written and verbal communication skills, capable of working independently and collaboratively. Strong attention to detail, organizational skills, customer service, and ability to manage a variety of projects are essential. Directed and self-starting attitude with the ability to work independently as well as part of a team required. Solid computer skills and competency in Microsoft Office Suite products is absolutely necessary. High degree of confidentiality must always be exercised.
PATIENT CONTACT:
Interaction with patients as event participants and/or presenters at events.
WORKING CONDITIONS:
Remote work flexibility (0-1 days onsite each week). Some travel, attending events as well as off-site meetings with participants and partners on a regular basis. Speak on behalf of Dana-Farber and the Jimmy Fund at events as needed. Requires light lifting for event set-up. Weekend and night work is required occasionally. Attendance at signature events required.
