Key Responsibilities:
Event Management: Understand stakeholder objectives and oversee all event logistics including venue selection, catering arrangements, meeting room set ups, AV, and vendor coordination. Lead the creation of project plans and timelines.Event Communications: Coordinate event communications including save-the-date, event invitations and know-before you go details.Event Collateral: Coordinate event collateral and shipments including name badges, lanyards, signage, branded materials, and gifts.On-the-Spot Problem Solving: Manage unexpected issues in real time (e.g., resolving no-shows or vendor delays). Take ownership of finding quick solutions with minimal supervision and maintain a calm demeanor to ensure smooth delivery.Onsite Coordination: Manage all aspects of event setup, from signage to AV technology, ensuring seamless execution.Budget Oversight: Track all event expenses and coordinate vendor invoice payments, ensuring events are delivered within established budget.Event Metrics: Maintain registration data and other necessary metrics for accurate reporting and ROI measurement.Service Orientation: Build productive relationships with internal stakeholders and consistently deliver a high-quality service, strongly focused on meeting business needs. Deliver work in a reliable, timely and professional manner and keep others appropriately informed of progress.Qualifications:
2-4 years of event coordination experience, ideally in global corporate environment or professional services firm.Proven ability to work independently with minimal direction and take direction.Strong communication, problem-solving, and organizational skills, with attention to detail.Proficiency in Microsoft Office Suite and event management software is a plus.Strong prioritization and time management skillsDesire to learn new technology platforms (Cvent, SmartSheets, Workfront)Critical Skills
