The Position
Responsible for providing consistent, high quality Talent Acquisition (TA) operations support including the execution of activities involved in the competitive recruitment process including critical activities associated onboarding administration. Responsible for activities that cross multiple affiliates and require complex coordination and strong attention to detail in ensuring accuracy, timeliness and best practice while ensuring a positive candidate and hiring manager experience.
Relationships
Reports to the Manager of Talent Operations. Responsible for developing and maintaining strong relationships with internal Human Resource functions through the coordination and execution of tasks and processes associated with Talent Acquisition and the hiring process. Interacts with all levels of the business in support of the candidate lifecycle and in support of Talent Acquisition processes. External relationships include but are not limited to Talent Acquisition technology vendors, background vendors, candidates and new hires.
Essential Functions
Offer Management Prepares complex offer letters for the competitive hiring process ensuring proper controls are in place and governance requirements are met Monitors and advises delivery team on governance controls for internal and external offers Manages the offer development process to ensure language is compliant with processes, legislation and compliance and works with stakeholders on updates as required Ensure documentation is in accordance with requirements and addresses discrepancies as required Updates the applicant tracking system in support of the offer/transfer process Reviews ATS to validate source of hire to ensure accurate reporting and processing Initiates onboarding and required screens in accordance with process and system requirements Responsible for partnering with system lead on updates to offer documentation and/or communications in support over the overall hiring journey Onboarding/ Cross boarding Management Monitors, reviews and processes hire documentation in partnership with internal teams Creates, coordinates and manages I9 process for hires to ensure compliance with federal requirements Responsible for monitoring I9 compliance dashboard Oversees the tentative non-conformance process associated with I9s Responds to candidate inquiries to ensure a positive candidate experience Prepares documentation for compression upload Audits files to ensure compliance with process Serves as subject matter expert and point of contact for Service Now case creation for Talent Acquisition Serves as Tier II support for all Talent Acquisition inquiries related to Service Now Responsible for partnering with system lead on annual updates to hire documentation and/or communications in support over the overall hiring journey General Oversee and manage purge requirements in accordance with retention guidelines Maintains critical process documentation in support of TA processes Provides back-up to other areas of TA Operations as needed Participates and leads ad hoc projects as needed
Physical Requirements
0-10% overnight travel required.
Qualifications
Bachelor’s degree required; years of experience can be substituted in lieu of education as appropriate A minimum of 3 years of Human Resource or related experience required Strong working knowledge of federal and state requirements related to Human Resources, Employment Law and Talent Acquisition required Prior experience working in an applicant tracking system preferred Excellent attention to detail required Ability to exercise independent discretion and research information to determine a resolution Ability to function in a fast-paced environment Ability to interact with all levels within and outside of the organization Ability to work with sensitive and/or confidential information required Excellent planning and organizational skills required Ability to understand and execute against detailed processes a must
