PurposeThe Senior Event Manager leads TPA’s event management team to plan and implement the operational aspects of all TPA events. Reporting to the Director of Programming, the position is responsible for artist and client services from planning to post-event. The Senior Event Manager oversees department and organization-wide systems that support great experiences for TPA’s artists and audiences.
ResponsibilitiesTeam Leadership: Lead the event management team for all TPA projects. Recruit, train and supervise full-time, part-time, and student event management staff. Create event assignments and staffing schedules that ensure appropriate and cost-effective staffing for all events.
Event Management: Assign or directly manage events to ensure that each project achieves its goals. With the event management team, advance and arrange all non-technical elements of engagements such as schedule, travel, accommodations, hospitality, security, health & safety, runners, VIP programs, and other artist services. Insure consistent and complete communication between artists/clients and internal departments, campus services, and outside vendors. Establish and maintain effective working relationships with all event stakeholders. Provide guidance to artists/clients on how to achieve their event objectives and adapt artist/client requirements to local conditions. Ensure contract and rider terms are fulfilled. Manage artist services lines of event budgets. Prepare, maintain, and distribute project documents such as schedules, access lists, and expense reports. Manage project details and schedule information in the events database. Process purchase requests, agreements, cash advances, and vendor invoices. Maintain event-related equipment, supplies and facilities. Plan and conduct event pre-shops. Maintain knowledge of and ensure compliance with university event-related policies and processes. Develop ongoing organizational systems and processes to support events.
Project Planning: Serve as the primary client planning liaison on assigned events. Create project budgets for event security, artist travel, catering, and other event management expenses. Manage event expense tracking, approvals, and final reconciliation. Serve as the event management liaison to the TPA business office. Ensure that all university financial policies and procedures are followed, and business processes are completed in a timely manner. Manage bid processes and external vendor contracts and relationships. Draft, review, and track project agreements as assigned. Lead event settlement as assigned. Lead site visits, walkthroughs and other client planning activities.
Department Management: Oversee event calendar management. Develop and review departmental budgets and reports. Supervise the consolidation, review, and communication of event management information to all TPA departments and external vendors and partners. Build and maintain standard operating procedures, checklists, and other planning resources. Oversee digital event management tools. Oversee the event management area’s digital files and archives.

Required QualificationsBachelor's degree and at least five years of experience managing live arts or entertainment events in a professional setting.
Demonstrated ability to successfully manage details of concurrent projects with integrity, professionalism, and financial responsibility.
Demonstrated ability to work with a wide variety of clients in a deadline-driven environment.
Demonstrated positive attitude, flexibility with working assignments, and a willingness to learn and adapt.
High level of proficiency with office technology such as Excel, PowerPoint, Word, Outlook, Slack, and Zoom.
Interest in and strong commitment to the mission and programs of Texas Performing Arts.

Preferred QualificationsExperience in an arts presenting organization; arts producing organization; university-based organization; or multi-venue performing arts organization.
Experience managing events with international artists.
Experience with a wide range of live performance genres.
Experience leading the advance process for touring productions.
Knowledge of performing arts center standards and practices such as theatrical work rules, typical needs of touring productions, and common expectations of visiting artists.
More than the minimum required level of experience.
Relevant professional training or credentials.
Driving RequiredThis job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).
Salary Range$71,004+ depending on qualifications and experience.
Working ConditionsThis position is based in Austin, Texas and requires residence in the greater Austin area. The work location is 100% on-site at Texas Performing Arts.

Work ShiftEvening, weekend, and holiday work, including “on-call” times, are required in connection with performances and events. Working shifts may include extended daily hours in connection with performances and events. Work will exceed 40 hours per week at peak times. A compensatory time program is provided.
