Senior Event Manager
POSITION: Senior Events Manager DEPARTMENT: Events REPORTS TO: Director of Events FLSA STATUS: Salaried Exempt Summary The Sr. Event Manager/Safety Officer is responsible for ensuring that the operational needs of clients are met by mobilizing the necessary internal resources to properly set up, operate and close out events. Incumbent serves as primary contact for client and all internal departments and must be present during the execution of the event. This position requires flexible hours. Essential Duties and Responsibilities · Plan, coordinate and execute details of events according to the needs of our clients in a timely manner. Maintain constant communication with the client before and during their event. · Advance the technical information for concerts/major events. · Coordinate communications between building and show staff during load in and load out. · Research, review and recommend equipment, materials and supplies required to make an event successful. · Assist with special needs or requests from our clients and communicate to the staff in a timely manner. · Maintain record of all event-related expenses for billing client appropriately by issuing a summary of expenses. · Attend staff meetings. Develop and maintain a working relationship with all the other departments. · Maintain the proper image and generate positive relations with clients, patrons, and staff. · Respond to crowd control and/or crowd management situations in a prompt and decisive manner and orally respond in a professional and diplomatic manner during crisis and/or sympathetic situations. · Respond to visual and audible alarms from building automation safety systems. Make immediate decisions and communicate with all users of the facility in an emergency. · During events, supervise part-time employees and third-party labor and oversee all aspects of the facility operations related to events. · Prepare, review, and complete final event settlements in coordination with the Finance Department. Handles subsequent inquiries regarding event settlement. · Supervise and manage other Event Manager to include training, scheduling, mentoring, and evaluating performance. Knowledge, Skills and Qualifications · Two years’ experience in the operation and execution of conventions, trade shows, banquets, concerts, and other venue entertainment preferred. · Bachelors/Associate degree preferred. · Must be able to effectively manage many conflicting priorities at one time. · Excellent communication skills. · Must be able to work under limited supervision. · Ability to work in a team environment and interact with all department levels and staff. · Excellent organizational skills. · Excellent problem solving and decision-making skills. · Professional presentation, appearance, and work ethic. · Computer knowledge include Microsoft Office, Windows, and AutoCAD preferred.
