QinetiQ US is seeking an Senior Executive Administrative Assistant to support a DoD client in the Chantilly, VA area. The highly motivated candidate will be providing leadership and guidance through knowledge, experience, and their ability to effectively manage and execute multiple administrative tasks and provide at an executive level to a newly appointed Principal Staff Assistant office.
Responsibilities Provided executive level calendar management and administrative support, coordinating with both internal and external organizations across the Office of the Secretary of Defense (OSD), the Pentagon, Services, Combatant Command Components etc. Coordinate with members of the Directors Action Group to prioritize scheduling of events and then communicate and schedule appropriate meetings as requiredSubmit building passes, clearances, scheduling conference rooms and coordinate VTCs dial in and IT support for all meetings and conferences. Provide day-to-day support to offices Director or Deputy Director as assigned, which includes but is not limited to calendar management, file prep, conference room scheduling, and various other administrative items Develop processes and protocols to enhance the offices posture as it transitions into a Principal Staff Assistantprovide support and process improvement recommendations for personnel awards and acknowledgementsCoordinate and with Travel Team to ensure the Director and Deputy Director's travel has been booked in Defense Travel System and travel books are prepared accordingly Serve as primary point of contact and liaison with senior DoD leadership for interpreting proposed policies and operating practices, DoD Directives, Instructions, Publications & Manuals, and providing expert recommendations to Senior Executive Service and Flag/General Officers and their staffs.Create tools such as Excel spreadsheets and other databases to compile, track, summarize, and report the status of various documents and projects.Ensure conformance with established guidelines; provide timely feedback and status upon request.Perform special projects on own initiative or as assigned.Provide input to and communicate with various military assistants, Chiefs of Staff, OSD Protocol, Pentagon Force Protection Agency, and subordinate organization personnel to guide and direct daily operations and provide inputs into strategic plans.Provide liaison with the Secretary of Defense/Deputy Secretary of Defense, OSD Protocol, Pentagon Force Protection Agency, subordinate offices, other DoD agencies, and industry and academic institutions to ensure ongoing, effective business operations.Ensure conformance to established deadlines. Required QualificationsA Bachelor’s degree from an accredited college or university in business administration, human resources or other administrative related subjectsActive/Current TS/SCI; #QINETIQCLEAREDJOB10 years directly related experience requiredCandidate must be proficient in MS Powerpoint, Excel and Word Local travel to Pentagon is requiredPentagon experience is required Preferred Qualifications
