We're seeking a versatile and multifaceted Senior Executive Assistant to join our team in San Francisco and be at the forefront of our fast-paced and exciting environment!
As an Senior Executive Assistant at Ripple, you will have a pivotal role in ensuring smooth operations and providing high-level support to our senior executive. You will be responsible for handling sophisticated calendars, coordinating meetings and events, handling confidential information, and being the go-to person for all administrative needs. WHAT YOU'LL DO:
Provide direct support to two Senior Vice Presidents (role is required to be in office 10-12 days a month in San Francisco) Day-to-day management of calendars with heavy scheduling requirements Prioritize conflicting needs - handle matters expeditiously and proactively. Follow-through on projects to successful completion, often with deadline pressures Book and lead travel arrangements and reservations for members of three teams Plan and prepare information for meetings, presentations, interviews, etc. Take detailed meeting minutes, as needed Arrange and book team outings, lunches, and events Prepare and file executive expense reports Collaborate with other Ripple Executive Assistants, as neededWHAT YOU'LL BRING:
8+ years of experience working as an Executive Assistant Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail Proactive approaches to problem-solving with strong decision-making capability Consistent track record to handle confidential information with discretion and demonstrate the highest level of customer/client service and response Coordinate internal and external meetings including but not limited to team meetings, full staff meetings, onsite/offsite meetings, one-on-one meetings, etc. Book domestic and international travel within Ripple’s travel policy, taking into account travel visas, costs and proper documentation Prepare and file executive expense reports Effectively communicate with employees from other groups within Ripple and Senior Executives inside and outside the company, and recognize key players within all organizations Communicate with external customers, prospects, partners and vendors while exhibiting the highest degree of professionalism Assist with food orders, luncheon planning, and coordination of other business related meetings as requested. Support employee engagement activities which includes but not limited to swag & gifting, division-wide meetings, team dinners. Assist with PowerPoint presentations; Microsoft and Google applications when needed. Plan and prepare information for meetings, presentations, interviews, etc. Take detailed notes, as needed. Track progress of projects across the team. Follow-through on projects to successful completion, often with deadline pressures. Other administrative and project duties as requested and spoken about with the Executive. Outstanding hands-on written and verbal communication skills Hands on experience with Google Apps and Concur Passion for excellence and working in a team environment with a strong company culture Previous startup experience a plus Collaborate with other Ripple Executive Assistants, as needed For positions that will be based in CA, the annual salary range for this position is below. Actual salaries may vary based on numerous factors including, among other things, an individual applicant’s experience and qualifications for the position.
