Senior Executive Assistant
Description The incumbent will possess thorough knowledge of the organization, and have the proven ability to make sound judgments on a day-to-day basis regarding assigned and ad hoc duties. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance. The Senior Executive Assistant will have the ability to work independently on and manage multiple projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Duties include scheduling of appointments, preparation of external / internal correspondence, telephone/visitor screening, arranging complex and detailed domestic/international travel arrangements, coordination of meetings and receptions, preparation of presentation materials, maintenance / filing of documents, preparation of expense reports. May perform ongoing maintenance to various data bases and generate reports. Assist in arranging large colleague meetings/events including senior leadership staff. Primary responsibilities include + Manage multiple projects simultaneously/in a timely manner. + Coordinates internal/external meetings, conference calls, and domestic/international travel. Schedule management. + Displays excellent communication skills in working with clients (internal/external), and vendors. + Reports and presentations including advanced graphics. + Accurately tracks expenses/process and submit expense reports in a timely manner. + Distributes agenda, meeting packages, and responsible for meeting minutes. + Data entry/filing. Qualifications, Education, Certifications and/or Other Professional Credentials + Senior administrative experience of 5 - 7 years required + Ability to work with limited supervision, independent + Strong prioritization and problem solving skills + Solid written, verbal and communication skills + Attention to detail and sensitivity to deadlines + Ability to multi-task + Excellent customer service skills + Proficient in Microsoft Office Suite including Outlook, Word, Excel and PowerPoint. + Specific experience in creating and editing PowerPoint presentations is desired. + Strong ability to manage travel and expenses timely and accurately.
