Responsible under minimal supervision and direction for performing advanced, multi-faceted, and confidential executive administrative support for Information Technology leadership and other key department management, including developing and managing administrative processes, procedures, and functions to meet the CTO and department’s business needs.
KEY DUTIES/RESPONSIBILITIES:
Coordinates executive’s calendar for meetings, conference calls, events, etc., including calendars meetings, monitors and apprises executive of daily calendar events, and takes initiative to rearrange events based on priority or availability of participants. Keeps executive well informed of upcoming commitments and responsibilities, following up appropriately.Coordinates travel plans, agendas, and prepares expense reports. Obtains information on behalf of the CTO, and other IT leadership as required. Applies discretion and judgment to facilitate the executive’s activities and maintain confidentiality. Interacts and assists executive management with sensitive and confidential issues on a regular basis; anticipates executives’ needs and proactively assembles people and resources to address various situations and issues. Fields incoming calls/emails and serves as the first point of contact to executive for internal and external contacts. Takes independent action to respond to requests for information, and relays and exchanges information with others, including senior leaders, vendors, and other customers. Owns and tracks multiple projects and reports, compiling data and developing spreadsheets, graphs, and Powerpoint presentations; is proactive in providing input and communicating status and/or recommendations as needed. Keeps apprised of Company information; alerts executive or other parties of materials issues and status updates.Composes and prepares correspondence and memoranda from verbal/written direction, ensuring accuracy, and timely distribution or response. Reviews incoming correspondence; takes initiative to handle inquiries/information within approved scope of authority to conserve executive’s time, including being proactive in evaluating requests and determining appropriateness of forwarding issues to other personnel/departments for resolution. Builds positive relationships with other executive assistants and staff at all levels of the company. Performs other related duties, tasks and responsibilities as required, assigned and directed.QUALIFICATIONS:
Education – High school diploma, G.E.D or equivalent required; some college level business courses or vocational training helpful.
Experience – 5-7 years responsible administrative experience in a large business supporting C-suite and/or other executive level management.

Proficiency and scheduling and managing small and large meetings with Microsoft Teams and Zoom platforms.Advanced knowledge and proficiency with Microsoft Office 365 (Word, Excel, PowerPoint, Teams). Demonstrates integrity and ethical behavior.Physical Requirements: - Ability to speak/hear clearly in person and on the telephone. Ability to operate a computer keyboard. Ability to travel up to 10% of time as business needs require. Flexibility to respond and provide support outside of regular business hours as needed.

The range for this position is $34.90 - $48.85 (non-exempt) and is based on an employee located at our corporate headquarters in San Diego. If the candidate is hired in a different city to work remote, we will apply a geographic pay differential based on the cost of labor in the market in which the employee resides.
