Axient is looking for a Senior Executive Assistant in Huntsville, Alabama to provide executive-level administrative support to the Integrated Fires Directorate (IF-D) within the Program Executive Office for Missiles and Defense (PEO MS).
What you will do...Duties will include, but are not limited to:
Provide senior level administrative support to the IF-D Director and subordinate staff, supporting high-visibility and/or mission-critical aspects of the program and performing all functional duties independently.Perform a variety of administrative functions, including but not limited to the following:Provide support to assigned personnel for scheduling, coordinating events and meetings, reviewing and preparing executive correspondence, and other program support functions.Maintain calendars within Microsoft Outlook.Operate a multi-line phone system, receiving all incoming calls and taking complete messages as needed.Coordinate with other PEO MS Program Assistants. Coordinate with and assist the PEO Command and Staff as required. Process travel authorizations, obtain required signatures prior to travel, format trip reports, and review local travel vouchers.Plan, schedule, and follow-up meeting requirements, reserve conference rooms, setup/coordinate conference calls and video teleconferences, invite attendees, ensure read-ahead materials are provided to meet specified timelines, and maintain copies after meetings.Construct, review, and edit official Government correspondence, including memos and letters. Review will consist of spelling/grammar accuracy, record management, and data entry for proper coordination and routing internally and externally.Prepare material for presentation in briefings, meetings, and for higher headquarters. Create and edit complex spreadsheets and PowerPoint briefs for review and staffing.Coordinate and track external inquiries, suspense, and action items.Perform some work in a classified environment.Assist in the operation and/or modification of automated tools and databases, including the Automated Time and Attendance Production System (ATAAPS) and the Defense Travel System (DTS).May oversee the efforts of less senior staff. Must possess an active and transferable DoD security clearance, with current investigation at the SECRET level. Must be able to maintain the required clearance.Minimum of 15-20 years of related experience.Bachelor's degree in related field, preferred.Prior experience working in an Army Project Office preferred.Must demonstrate excellent customer interface and communications skills, both written and verbal.Must be proficient in Microsoft Office applications (e.g., Word, Excel, PowerPoint, Outlook, SharePoint).Must have experience arranging business travel, and prior use of automated tools employed by the Government (e.g., ATAAPS and DTS).#CJ
