Senior Facilities Manager

Transform Facilities at JLL with your leadership experience as a Senior Facilities Manager on a large tech client account.

The Sr. Facilities Manager is responsible for managing the assigned sites within the account owned and/or occupied portfolio in accordance with the requirements of the contract. The position will be responsible for all line of business and third-party relationships with the assigned buildings. The position may also manage a team including Facility Management support staff and matrix management of Building Engineers, as assigned.

Location: Kansas City, MO/KS

Schedule: on-site, Monday-Friday, 8:00 AM to 5:00 PM

Reports to: Regional IFM Lead

Type of Employment: Full-time w/JLL employee benefits within 1 month of employment

Travel requirements: local travel regularly to all Kansas City client sites

What your day-to-day will look like: 

Relationship Management 

Manage the performance and outcomes of assigned staff reporting to the position Maintain interface with third-party owners (tenants), ensuring total contract (lease) compliance, accurate and timely reporting, and resolve critical impact tenant relations issues Familiarity with managing critical facilities/data centersCultivate, own, and maintain a trusted working relationship with client representatives (JLL or external) and 3rd party service providers.  Communicate/escalate with appropriate parties (manager, client, vendors, etc.)Partner with client and team members to implement best practices and cost saving initiatives.

 

Compliance 

Provide overall facility services in accordance with accounts’ standard processes and procedures including application of policies and programs, coordination of information Ensure compliance with portfolio wide initiatives and required local, state and federal laws and regulations that pertain to the operating of facilities entrusted to the Facility Partners to manage on behalf of the client as owner 

 

Operations

Lead and manage all services for all contracted hard & soft service suppliers. Ensuring services are delivered consistently with agreement terms.    Lead and assist with receiving and dispatching of work requests to vendors, landlords, or other 3rd party service providers.  Lead and manage Facilities Coordinators to support operations.   Manage and coordinate scheduling of 3rd party maintenance activities.    Manage and coordinate work with 3rd party vendor, including tracking work order completion, vendor and client follow up, and reviewing subcontractor invoices.  Ensure all site management and operations practices follow company, Master Service Agreement (MSA) requirements, and client standards.   Support facility inspections of vendor performance in soft and hard servicesSupport sustainability team with coordination and implementation of sustainability goals  Support vendor management and performance in partnership with sourcing team

 

Process Management 

Manage, coordinate, and exercise functional responsibility for Facility Management services within assigned facilities and geography Prepare, submit and manage facility budgets with the clients’ goals and objectives addressed, track variances and ensure smooth recovery process Monitor overall workflow to assure timely completion within established SLA’s and KPI’s Review dashboards dailyMeet or exceed customer satisfaction rating for client’s they serveSupport the CEM and engineering teams to assure completion of scheduled PM’s and adherence to CEM processes.  Assist as appropriate to ensure all facilities evaluated are in compliance  Support prompt collection of management fees and reimbursements from 3rd party tenants occupying space with the accounts owned premises as needed.Apply a programmatic approach to routine tasks, small projects, and other requests to support delivery of services and increase customer satisfaction.  Lead, manage, and assist JLL operations team with tactical planning, goals, objectives and execution. Recommend, plan, and execute continuous service quality improvements.  Lead, manage, coordinate, and support meetings with service providers and other stakeholders.  Lead and manage direct reports to achieve the Key Performance Indicators Conduct root cause analysis (RCA) for any vendor failures and support client RCAsPerform other duties, activities, or projects as assigned.  

People Management 

Responsible for overall team management, staff development and planning. Execute staff succession and growth plans Involved in compensation planning process For every direct report, build actionable and measurable career development plans, direct report in consistent conversations regarding progress 

 

Required Skills and Experience: High School Diploma or equivalentBachelor’s degree or equivalent work experience in Facilities Management with management/technical emphasis. Advanced degree a plus; CPM, RPA, or CSM designation.Ten (10)+ years of proven work experience managing multiple facilities as a third-party provider, corporate, or as a consultantFive (5)+ years of proven people management/supervisory work experience leading an Integrated Facilities Management teamExperience managing a multi-million sq ft mixed use portfolio is requiredProven success managing hard and soft services, including vendor managementFamiliarity with critical facilities such as data centers and related equipment/systems such as generators, UPS, ATS, cooling towers, fire-pumps, etc.Strong leadership and relationship building skills Strong interpersonal skills and problem-solving ability Excellent verbal/written communication and presentation skills Proven record of providing excellent internal and external customer service Knowledge of standard business and accounting practices Knowledge of Excel and ability to analyze dataMust be located in the Kansas city metro area (relocation assistance is not available for this role)
