**Job Description Summary**
This position provides management/leadership of the facilities organization at specific facility(s), set of buildings and/or campus environment. The Senior Facilities Manager is expected to implement day-to-day policies, procedures and programs that will assure well-managed, well-maintained buildings whether under their direct supervision or buy other members of their team. Emphasis is placed on the positive response to the requirements of the client, environmental health and safety, and quality programs. The position manages the services, financial performance, vendor management and staffing required to meet the needs of their portfolio’s facilities management. Additionally, this role is responsible for overseeing the operations, maintenance, and leasing coordination of sub-tenant spaces within the client space. This role includes a high level of interfacing between visitors, other support teams, customer user groups, neighboring tenants, interior subtenants and the Property Management firm.
**Job Description**
**Responsibilities**
+ Thoroughly understand client contractual requirements and assure team delivery of "best in class" services that meet or exceed expectations with a focus on janitorial, life safety, landscaping, snow removal, pest control, water treatment, engineering and general maintenance needs.
+ Lead cohesive technical and administrative customer service team which responds quickly, positively and effectively while employing C&W policies and principles of ethics, inclusion, confidentiality and professionalism. Provide effective hiring, coaching and motivation. Be present in the field.
+ Effectively employ all C&W and client technology, platforms and dashboards to deliver quality results with useful data within required deadlines.
+ Master the operation of CMMS and utilize it to assure the proper assignment, timely completion and tracking of work orders in real time. Extract useful reports and evaluate to provide informed recommendations for capital spending, maintenance programs, staffing, etc.
+ Assure that the correct preventive maintenance is performed on the complete list of assets in scope at the required intervals with the most efficient staffing.
+ Provide accurate Facility Condition Assessments at required intervals.
+ Ensure that all site-specific documentation and reports are in compliance, including (as applicable): manuals, procedures, local codes, OSHA/safety, elevators, insurance, drawings, contracts, team performance and others as required.
+ Understand the needs and oversee the delivery of goods and services of vendors and contractors. Provide accurate scopes of work, quote review, purchase orders, schedule planning, on-site supervision and validation of performance.
+ Accurately review quotations, raise purchase orders, approve invoices and manage expenses; provide all required financial reporting in a timely manner; assure compliance with financial requirements; meet financial targets and assist in creating budgets making sure the team also meets all of these goals.
+ Make workplace safety a way of life for your team by your example and by providing the training, materials, equipment, reporting and communication necessary to deliver a well-educated staff committed to environmental health and safety.
+ Understand the critical assets in your portfolio, their use and the risks/impacts of their failure. Assure that the proper contracts, preventive maintenance plans, change management and C&W subject matter collaboration are employed for 100% uptime.
+ Make considered capital investment recommendations. Effectively utilize client capital request and break/fix process including regional manager review, personal work oversight and accurate project closeout.
+ Subleased floors, work with leasing agents on the Transaction team providing potential tenant’s space tours and occupancy training. Serve as the primary point of contact for tenants, addressing concerns and ensuring customer satisfaction.
**Knowledge & Experience**
+ 4-year college degree
+ 6 years of facilities experience/3 years of supervision in a facilities environment
+ CFM, FMA or LEED O&M designation preferred
+ Broad understanding of facilities, construction, finance and vendor management.
+ Organized with strong written/verbal communication skills.
+ Leasing and subleasing processes and tenant management.
+ A strong understanding of building systems (e.g., HVAC, Electrical, Plumbing).
+ Proficiency in budgeting and financial management.
+ Proficiency in property management software.
**Physical Requirements**
+ While performing the duties of this job, the employee is regularly required to travel from floor to floor and may be required to travel outside between buildings in varying outdoor weather conditions
+ On call 24/7 (excluding PTO and peer coverage)
+ The employee may also be regularly required to sit or stand for prolonged periods of time
+ Regularly use hands to operate office machinery including, but not limited to, telephones, computers, fax, and photocopy machines
+ Regularly required to walk, talk, and hear
