Purpose

The Financial Analyst supports and serves as a liaison of the business and financial services for The University of Austin Police Department.

ResponsibilitiesWorks with UTPD Command Staff to manage the department’s operating budgets, including preparation.   Oversees account structure including unit codes, subunit codes; ensuring accounts are requested and inactivated in a timely manner.  Monitors account balances and recommends funding transfers. Maintains accounting records for all departmental accounts. Tracks financial commitments, conducts monthly transaction reviews; monitors discrepancies with account balances, reviews accounts for overages or deficits, insufficient funds, incorrect object codes, etc.; and requests corrections as needed.Supports efforts to ensure sound financial planning, budgeting, and account management processes are in place for the department and in compliance with UT processes and procedures.Serves as a departmental expert on all aspects of travel, payment vouchers, cash/check deposits, and event billing. Provides training and informational resource for financial business processes within U/T.Liaison to Business and Financial Services to submit approved payment requests on behalf of UTPD. Process travel requests and reimbursement requests by staff in accordance with University policies and procedures. Review invoices for accuracy and provide or obtain approval of receipt of goods/services. Prepares log and backup documentation to reconcile ProCard and submit for processing by requested deadlines.Provides electronic desk access (DEFINE) for UTPD employees. Responsible for the preparation of financial reports including but not limited to monthly summary reports, annual financial reports, and forecasting and planning reports for the police department. Collaborate with Grants and Contracts Specialist to produce monthly financial reports as required.Sets up new contractors who provide security for events as vendors to receive payment from UT. Verify time sheets and submit for payment processing. Process billing for event security services.  Includes verification of staff hours, export and print invoices from system for eave event/date, send invoices to BFS to process IDT or directly to external clients, and track receivables for external clients.Serve as primary point of contact for Memoranda of Understanding (MOU) documentation. Monitor MOUs for expiration, file signed MOUs with the appropriate University entities, draft MOU updates, and serve as the MOU liaison for each University entity. Other related functions as assigned.

Required QualificationsBachelor's degree in Finance, Accounting, Business Administration, or closely related field.Four years of progressively responsible experience in financial analysis, accounting, and forecasting. Experience in financial planning, forecasting, cost, and financial analysis. High level of analytical ability and proficient in data analysis.Skilled at developing and presenting complex information to a variety of audiences.Proficiency in U/T Define, Microsoft Excel, Word programs and Smartsheet.Ability to quickly learn to use new technologies/software.Professional demeanor.Demonstrated excellent problem-solving skills.Excellent written, verbal, and interpersonal communication skills.Ability to meet deadlines and to successfully identify, organize and complete tasks independently and in a team environment. Experience working with confidential information and providing support using tact, discretion, and diplomacy.

Relevant education and experience may be substituted as appropriate.

Preferred QualificationsDemonstrated experience with the University of Texas financial systems and accounting procedures.Experience with travel, entertaining and other types of invoices and vouchers processes.Knowledgeable of the University’s procurement, payment, and audit processes. Proficiency in Excel, PointPlus, FRMS, DEFINE, and the Req System. 

Salary Range

$65,000 + depending on qualifications

Work Schedule

Monday – Friday, 8 am – 5 pm. Occasional evening, weekend, or overtime hours may be required.
