Responsibilities:
• In partnership with HR Operations Lead, coordinate onboarding process for new employees, including preparation of onboarding materials, support the delivery of orientation sessions, and ensuring a smooth integration for employees into the company.
• Send employment information and screenings to new hires and complete internal new hire documentation.
• Role will interface with candidates and business unit managers to schedule individual or panel interviews using Calenderly preferably within our ATS and prepare agendas for those involved with the process.
• Effectively communicate candidate information to interview teams, including management and senior leadership.
• Assist in administrative aspects of the employee offboarding process, such as preparing paperwork and saving to our employee management system (ADP), and sending exit packages to departing employees
• Support the processing of I-9 forms and other relevant employment documentation in compliance with federal and state regulations
• Input and maintain accurate employee information in the ADP HRIS system and other document management systems like Greenhouse, the company Applicant Tracking System
• Monitor HR email inbox, serving as the first response to employee inquiries that are generally leave or benefits related / and sending follow-ups when needed.
• Support the execution of new employee engagement initiatives
• Maintain and update the Company Org Chart in Visio. Related, and in partnership with Marketing, and IT, maintain company intranet people directory
• Ensure HR files are maintained and managed electronically and in hard copy according to retention requirements.
• Ensure compliance with company policies, processes, and trainings. Create, prepare and help analyze HR reports, including headcount, turnover, PTO , and other miscellaneous reports using Excel and other software tools
• Partner with team to stay updated on federal, state, and local employment laws and regulations to ensure company compliance
• Assist in audits and reviews of HR compliance practices to ensure legal adherence
• Support on ad hoc projects when needed, and partner with payroll for leave pay, and AP/AR on invoicing to ensure vendors and external partners are paid timely
• Preparation of gifts for new hires, anniversaries, and new family members
• Management of the ordering, posting, and communication of our Labor Law postings in every office
• Performing background, debarment and criminal checks for new and existing employees
• Assist in the maintenance of our performance management system. Coordination of different meetings, HR projects, and companywide projects
• Provide daily administrative support to the CHRO, and assist the HR Team as needed.
• Support invoice reconciliation by reviewing and approving HR-related invoices.
• Contribute to the performance review process.
• Help review, consolidate, and ensure proper postings of benefit documentation, including new benefit forms/packets and holiday calendars following open enrollment.
• Aid in tracking COBRA enrollments and payments.
Qualifications & Requirements:
• Bachelor's degree in Human Resources, Business Administration, or related field preferred
• Minimum of 2-3 years of experience in a human resources capacity or executive management support role
• Some proficiency in HRIS systems; Knowledge of Applicant Tracking Systems, Employee management Systems, Conference Room Equipment and strong skills in Excel (pivot tables, v-lookups, etc.), PowerPoint and other MS Office applications a plus
• Strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment
• Excellent communication and interpersonal skills with the ability to build positive relationships across departments
• Ability to multitask and prioritize
• Ability to handle multiple projects, both long and short term, simultaneously and be adaptable to change
• Independent, self-starter mindset, can "hit the ground running."
