**Job Overview**
This role provides support to the Leave Administration and Employee Service Center teams focused on data integrity, compliance, reporting and full cycle administration of leave and accommodation process. Act in accordance with federal and state laws, company policies and collective bargaining agreements. Continuous evaluation and monitoring of data in search of opportunities for process improvements and efficiencies.
**Job Description**
**Minimum Qualifications:**
1. Bachelor's degree in a related field, such as Human Resources, Business Administration, or a related field or equivalent combination of education and experience such as Associate’s degree in a related field and two (2) years of Human Resources or relevant business experience.
2. Seven (7) years of Human Resources or relevant business experience including five (5) years of experience in leave of absence case management.
**Preferred Qualifications:**
1. Experience with Workday.
**Duties and Responsibilities:** The duties and responsibilities listed below are intended to describe the general nature of work and are not intended to be an all-inclusive list. Other duties and responsibilities may be assigned.
1. Process full cycle of leave of absence management which includes investigation, extensive case management and coordination of STD/LTD benefits.
2. Independently maintain up-to-date knowledge of leave laws, policies, collective bargaining agreements and current practices.
3. Independently approves and/or denies leave cases according to policy based on relevant medical information.
4. Maintain well-organized electronic records that promote accuracy and compliance.
5. Coordinate and organizes all medical information and ensure that HIPAA and Employee Privacy guidelines are closely monitored and effectively executed.
6. Communicate, counsel, answer questions and provide leave guidance to employees and managers in an efficient and effective manner.
7. Maintain active communication with the Total Rewards HR Community, HR, Leave of Absence and Disability Partners, Occupational Health, Legal, and Payroll facilitating proper knowledge transfer and maintaining alignment between leave of absence strategy development and execution.
8. Provide transactional absence management process changes to employee data, review and analyze HR data for accuracy and compliance purposes.
9. Manage and processes employee transactions related to leaves, ensuring all actions are documented properly in Workday and ServiceNow.
10. Review, process and record ADA Reasonable Accommodation requests in collaboration with Legal.
11. Monitor and respond to Zoom calls, emails and Workday tickets throughout the work day.
12. Proactively and continuously identify, recommend, and implement leave process improvements
13. Back up for other Leave Team members while out of office
14. Ensures that all reportable workers’ compensation claims are submitted appropriately.
15. Actively participate in workers’ compensation meetings.
16. Audit timecards for employees on leave of absence.
17. Responsible for receiving, addressing, and escalating leave program questions via the Employee Service Center
18. Support leave management needs from the HR Community as needed, providing data and support for usage, benchmarking, and cost analysis.
**Physical Requirements:**
1. Frequent sitting, occasional standing & walking, and lifting of 5-10 lbs.
2. A valid driver’s license is required for local travel to remote hospital sites, and the like.
3. Mental requirements will be intense at times with involvement in many concurrent multi-faceted projects.
4. Requires manual dexterity using fine hand manipulation to operate a computer keyboard or related equipment
5. Requires ability to see computer screen, monitoring equipment and reports.
**Skills & Abilities:**
1. Specialized knowledge in Leave Administration, HR Operations, HR Service Delivery, Benefits, and HRIS.
2. Strong working knowledge and application of federal and state disability and paid family leave laws (i.e., ADA, FMLA, PFML, Parental Leave, Workers Compensation and other state/local regulations).
3. Ability to work independently and regularly exercise discretion.
4. Organized, detail oriented and to manage multiple priorities in a deadline driven environment.
5. High level of confidentiality and ability to effectively communicate with employees at all levels.
6. Ability to diagnose a problem and lead correction efforts through effective communication and efficient execution.
7. Exceptional written and analytical skills.
8. Possess a strong sense of urgency as part of the daily work style.
9. Workday experience preferred.
10. Proficient in Microsoft Outlook, Teams and Excel.
**Job Profile Summary**
This role focuses on supporting the design, development, and implementation of human resource programs and policies, including recruitment, training and development, compensation and benefits, mobility, talent acquisition, diversity, talent management & organization development and employee/labor relations. In addition, this role focuses on performing the following benefit duties: Designs, implements, and administers an organization's health and welfare benefits programs. Responsibilities also include plan design, communications, vendor partnerships, and costing solutions that align with Tufts Medicine's strategies to engage and retain talent. This role is also accountable to work collaboratively with leaders, legal, and key stakeholders to ensure compliance to all regulatory aspects of health and welfare and retirement plan benefits administration. An organizational related support or service (administrative or clerical) role or a role that focuses on support of daily business activities (e.g., technical, clinical, non-clinical) operating in a “hands on” environment. The majority of time is spent in the delivery of support services or activities, typically under supervision. A senior level role that requires broad knowledge of operational procedures and tools obtained through extensive work experience and may require vocational or technical education. Works under limited supervision for routine situations, provides assistance and training to lower level employees, and problems typically are not routine and require analysis to understand.
