We’re looking for a results-oriented Senior Legal Operations Specialist, Billing & Vendor Management to join Procore’s Legal, Regulatory & Compliance (LRC) Department. In this role, you’ll drive collaboration between LRC and outside counsel, managing sensitive communications and supporting key stakeholder relationships across the department. As a Senior Legal Operations Specialist, Billing & Vendor Management, you’ll partner with various internal stakeholders, including LRC, Finance, IT, Procurement, Accounts Payable, the People Organization, and third-party service providers, to drive scalable cross-functional process improvements and multiple initiatives simultaneously. The ideal candidate can deliver responsive solutions spanning a wide range of topics while fostering operational excellence and continuous improvement in delivering legal services across the organization.
This position reports to the Senior Manager, Legal Operations. It can be remote or based in one of Procore’s U.S. office locations. We’re looking for someone to join us immediately.
What you'll do
Manage and optimize LRC’s e-billing platform to drive operational efficiency by implementing automated workflows, configuring custom rules and validation parameters, streamlining invoice approvals, developing comprehensive spend analysis dashboards, and training users to ensure accurate and timely payment
Support LRC's vendor management program, including negotiating outside counsel engagements, developing and maintaining vendor management playbooks, completing onboarding for law firms and vendors, and ongoing relationship management to ensure service excellence and operational efficiency
Provide administrative support for LRC’s Leadership team
Drive onboarding processes for new hires and contractors, including coordinating IT setup, orientations, and administrative support to ensure successful team integration
Assist with comprehensive budget planning processes through data analysis, expense tracking, forecast development, and regular financial reporting to optimize resource allocation
Support optimization of Jira workflows to streamline LRC service desk and legal operations processes while providing user training and documentation to ensure efficient platform utilization
Lead or support additional LRC projects as needed, potentially including the ongoing ownership of longer-term programs
What we’re looking for
5+ years of increasingly responsible legal vendor management experience in an in-house legal department (gained ideally at a SaaS or other high-growth technology company)
Ability to initiate, prioritize, plan, and manage work through to successful completion with a proactive and organized approach to recognizing needs, solving problems, anticipating issues, and developing solutions
Strong organizational skills, attention to detail, excellent written and verbal communication skills, and understanding of establishing priorities and demonstrating flexibility in approach and responsibilities
Exceptional interpersonal skills, ability to work well in a team environment, and proven aptitude to engage, influence, and align internal and external stakeholders
Ability to simultaneously manage workloads, multiple client demands, and shifting priorities within a fast-paced, rapidly evolving environment and a strong desire to learn the business and to function integrally as part of an interdisciplinary team
High EQ, impeccable professional ethics, integrity, judgment, and demonstrated ability to handle highly confidential information
Able to operate autonomously while being a team player who brings a positive “can do” attitude to the workplace, working collaboratively with other members of the LRC Department and with internal business partners
Proficiency in Google applications (including Gmail, Drive, Docs, and Sheets), Slack, Simple Legal, Jira, Confluence, and DocuSign
Additional InformationBase Pay Range $81,360 - $111,870. Eligible for Bonus Incentive Compensation.
