(https://www.tacoma.uw.edu/strategic-planning) **The Milgard School of Business (MSB) has an outstanding opportunity for a Senior Manager of Academic Service to join their team.** The Senior Manager of Academic Service reports directly to the Associate Dean in the Milgard School of Business (MSB), and is situated in the Milgard office of the dean. This position fills the senior staff role for academic support for MSB, providing complex analytical support to the Dean, Associate Dean, and faculty leadership within the Business Administration Program. Under the guidance of the Associate Dean, this position will proactively work to develop and implement procedures and guidelines to streamline various academic operations systems, to support the goals of the Dean and MSB leadership as well as the unit and university missions. Specific requirements include data analysis, functional academic support skills and knowledge, and tracking of processes, projects, and timelines. This position will create processes to manage the flow of required documentation for part-time faculty HR processes, course scheduling, and curriculum review processes. This position will also coordinate part-time faculty recruitments and participate in staff human resources management as required. This work entails managing confidential, sensitive human resources issues involving UW Tacoma employees. Expertise in the following major areas of technical and professional knowledge are required: academic support and analysis; project management; functional tracking and support academic human resources, and staff human resources. This position will have frequent contact with faculty, area coordinators, and program directors, often involving complex issues as well as confidential communication. This position will be required to independently create and apply approaches to a variety of communications in order to successfully advance the goals and mandates of the Dean. MSB offers 5 degree programs and currently has 35 full-time faculty and this position supervises 1 staff, serving approximately 852 students (597 undergraduate and 255 graduate). **DUTIES AND RESPONSIBILITIES** ACADEMIC ADMINISTRATION/OPERATIONS – 30% + Maintain and contribute to a clear understanding of all academic planning processes within school; provide guidance as needed; provide analysis to the Dean and Associate Dean on planning and implementation of new academic and student services and determine impacts on students. + Develop, organize and maintain confidential documentation pertaining to academic planning processes for the Associate Dean and/or Dean and advise them on academic policy compliance and procedural issues. + Apprise the Associate Dean and/or Dean of program-related activities and faculty and student issues, priorities and deadlines; formulate recommendations and help problem-solve; ensure that priorities and obligations are met through vigilant oversight of deadlines and schedules. + Attend appropriate leadership meetings and manage assignments and projects which arise from unit leadership discussions. + Participate in the generation of ideas to help market the unit’s faculty initiatives, academic programs, and unit research, and articulate how those impact the student experience. + Serve on Milgard School committees as needed. + Supervision of staff for the Milgard Direct Admit Program.DATA/REPORTING/PROJECTS – 20% + Develop, modify and maintain various databases and records management systems to manage program records and annual reports pertaining to school functions, such as admissions, student FTE, fill rates, and number of degrees awarded; ensure the on-going collection, organization, and maintenance of appropriate data and assist in program assessment with an aim toward enhancing programming for students. + Provide reports, documentation and analysis to meet the needs of the Director/Dean, faculty, staff, university leadership, and external agencies; use/analyze data to support decision-making. + Access the BI Portal, Student Database (SDB), and Student Information System (SIS), to collect, analyze and prepare research information and reports about our student population. + Monitor student enrollment data in the school with a view to setting and meeting enrollment goals. + Provide support for accreditation reviews to include the on-going collection and maintenance of appropriate data. + Produce annual admissions and recruitment reports; provide data to academic units on student progress and enrollment capacity. + Serve as the contact and support for compiling data for AACSB visits and surveys.CURRICULUM MANAGEMENT – 30% + Provide oversight of course scheduling and curriculum management. Manage the entirety of the curriculum process for all programs in collaboration with the Associate Dean, area coordinators, and program directors. + Oversight of new course or course modification proposal process in accordance with UWT Curriculum Committee and University curriculum processes and deadlines. + Work with faculty leadership to identify student needs; review curriculum and enrollment patterns to determine courses needed to ensure timely graduation of students; identify bottlenecks and recommend solutions. + Utilize and synthesize knowledge of University requirements, various requirements for school degrees, student demand and faculty availability; ensure rules for course offerings are followed. + Ensure adequate pathways to graduation, ensure program offers adequate opportunities for pre-majors to complete prerequisites; work with faculty leadership and advisors to gather data about availability, conflicts, class needs, etc.; identify courses needed to ensure timely graduation of students. + Review course fill rates to provide evidence-based reasoning for increasing or decreasing course offerings; analyze data to determine course schedule that will best meet the needs of both faculty and students; identify problem areas with the course schedule and provide recommendations for revisions and solutions. + Communicate course offerings to academic advisors to assist with long range degree planning. + Edit Milgard School section of the University catalog and Collaborate with MSB marketing specialist to update the Milgard School website. + Course Schedule Production: Maintain a 2-year teaching schedule and manage the implementation of the quarterly teaching schedule with input from area coordinators, program directors, advising staff, and the Associate Dean. Serve as the liaison with the UWT Registrar to construct and update the Time Schedule and associated classroom needs in accordance with established production deadlines. Maintain a database of the current and historical course schedule. Manage classroom scheduling requests considering all constraints and special needs. + Curriculum Maintenance: Work in collaboration with School’s Curriculum Committee to review and update curriculum as needed. Serve as liaison with campus and university curriculum and registration offices to problem solve and implement changes to the curriculum. Regularly review the curriculum and recommend changes to improve implementation of courses and accessibility of degrees. + Student Curriculum Petitions: Oversee the review of undergraduate student curriculum petitions and coordinated communication with the academic advisor, faculty, and curriculum committee to ensure timely review and decision making of petitions. Maintain a database of student petitions for record keeping purposes and conduct occasional audit of petitions to make policy and/or process recommendations, as needed. Delegate portions of this process, as appropriate. + Work with faculty leadership and staff to manage summer session for school, including course scheduling, oversight of the summer course budget, and coordination of UW Tacoma summer session with UW Tacoma Associate Vice Chancellor for Academic Affairs and the UW Seattle summer session office.HR/PERSONNEL MANAGEMENT (Academic and Staff) – 20% + Manage the part-time faculty academic appointment process, create quarterly and annual contracts, and assist with the recruitment of part-time faculty. Support part-time faculty recruitment and search processes including managing the ad approval process. Support hiring of affiliate appointments and visiting scholars. + Prepare offer letter for hiring packet for part-time faculty; process hiring and payroll paperwork and conduct new hire onboarding for part-time faculty as needed. + Oversee new part-time faculty appointments; work closely with the Associate dean to communicate and collect necessary documents for processing. + Hire, train, supervise, review performance, and arrange for training of undergraduate recruiter. **MINIMUM REQUIREMENTS** + A bachelors degree and four years of experience in advising and/or academic services in the higher education context. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS** + Strong interpersonal skills; ability to work effectively and cooperatively with a wide range of students, administrators, faculty, staff and external constituencies; exemplary customer service skills. + Strong time management and organizational skills and attention to detail; ability to multi-task; ability to prioritize competing demands to successfully meet deadlines and project milestones; flexible and resourceful. + Strong verbal and written communication skills; proven ability to handle executive-level confidential information with a high degree of tact, discretion, and diplomacy. + Demonstrated analytical and problem-solving skills; ability to work independently and make decisions as necessary. + Technology skills for database development and management are essential. + Demonstrated commitment to access and inclusion, with the ability to collaborate across diverse populations; have a strong service orientation, excellent work standards and professional demeanor. + Knowledge of/familiarity with student services, admissions and advising policies and processes. **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
