Senior Marketing Proposal Specialist
Overview The Senior Marketing Specialist serves as a key member of the Business Development and Marketing Team responsible for the preparation of proposals, presentations, and other marketing materials as needed to win work for the Aviation, Transportation, Development, Facilities, Structural, and Federal sectors of AVCON. This individual works with the firm’s technical leads that are based in offices across the Southeastern United States throughout the entire life cycle of the response process. Responsibilities also include research, development, and communication of strategic marketing messaging that aligns with the client’s needs and wants. The Senior Marketing Specialist provides support, as needed, to the achievement of designated business development tasks and winning work with identified targets. This position is based in AVCON's Orlando, Florida office. ESSENTIAL FUNCTIONS(may include but are not limited to): + Respond to Private and Federal, State, and Local/Municipal Government proposal requirements for full-service engineering services and may be for design-build or progressive design-build delivery methods. + Review Requests for Qualifications / Proposals (RFQ/RFPs) for Prime and Subconsultant roles, dissecting requirements, utilizing checklists and other tools, scheduling and facilitating kick-off and review meetings. + Collaborate closely with Principals, Project Managers, Graphic Designers, and other Marketing or Business Development staff for this work. Must be able to work with a diverse group of individuals with varying opinions to create content with “one voice”. + Ability to tailor resumes, project write-ups, firm history and overview, project understanding and approach and other content as required. Proof-read, edit and provide QA/QC as necessary. Produce complete electronic and/or hard copy as per Client’s instructions, prepare for shipping or delivery if hard copy. + Promote AVCON’s unique differentiators through compelling and compliant content, storytelling, designated themes, and custom messaging. + Ensure brand consistency with an innovative approach to layout, graphic elements, etc. + Use and maintain all material associated with proposals, presentations, and other marketing collateral used for the purpose of winning projects such as general firm information, staff resumes, photo library, slide library, and project information sheets. + Coordinate necessary meetings, prepare meet documents for pursuit team to follow (agenda, checklists, etc.) and keep meeting minutes/ action items and distribute results from the meetings in a timely manner to keep the pursuit team on track. + Attend pre-proposal meetings as needed. May participate/represent the firm at various community functions, trade shows, and special events as needed. + Liaise with internal teams for content and to promote brand consistency, cross selling of services, and client management. + Mentor pursuit team as needed to align their skills with strategic marketing processes and approaches to developing proposal, presentation, and other material as necessary. + Involvement throughout the presentation/interview process including coaching as necessary. + Nights and weekends are generally not required but may occasionally be necessary with little or no advanced notice. ESSENTIAL QUALIFICATIONS + Bachelor’s degree in Marketing, Journalism, Communications, English, Engineering, or related field, strongly preferred. + 5-10 years of related experience including proposal writing. Minimum of 5 years of this experience within the AEC industry. + APMP or CPSM certification, desired. + Proficiency with MS Office, Adobe Creative Suite, PowerPoint, and other relevant software. + Previous experience with database/CRM software (Deltek Vision and/or Vantagepoint, Cosential), preferred. + Demonstrated, strong written and oral communication, editing, and proofreading skills (understanding of the conventions of grammar and usage) in the English language. + Attention to detail in all tasks and able to understand and convey complex government and private entity requirements that are used in RFP/RFQ and other client documents. + Experience working independently as well as within cross-functional teams in a collaborative, professional environment. REQUIRED KNOWLEDGE, ABILITY, AND SKILLS + Ability to work independently with little/no supervision. + Ability to communicate effectively and tactfully both verbally and in writing. + Ability to produce accurate, compliant, and compelling work (independently or with others). + Ability to work on multiple assignments/deadlines while maintaining a high level of precision. + Ability to contribute creative/strategic insight while participating in brainstorming and strategy development. + Ability to utilize a theme-based approach when developing proposals, presentations, and other marketing materials. + Ability to keep abreast of marketing trends and competitor activities and perform market research, as well as understanding how to interpret the data received. + Ability to maintain good working relations with AVCON staff at all organizational levels. + Strong organization and effective time management skills with the ability to prioritize tasks efficiently and accurately, meeting deadlines and working well under pressure. LICENSURE/CERTIFICATIONS + Valid drivers’ license and maintenance of satisfactory driving record. SUPERVISORY RESPONSIBILITIES + Mentor marketing department staff and delegate as needed and when appropriate. ENVIRONMENT Work usually takes place in a clean, pleasant, and comfortable office setting. Site visits may occasionally take place in an outdoor environment.
