Senior Occupancy Planner

Position’s Goal

To manage the supply, capacity and demand of a building, campus, or regional portfolio of space for a specific client at the business unit level and group level. The Senior Occupancy Planner will serve in a leadership role on the Occupancy Planning team to help coordinate multiple business unit requests aligning with the overall occupancy strategy.

Deliverable Role/Responsibilities

The Senior Occupancy Planner will identify, coordinate, and plan space and programming services on multiple projects throughout the client portfolio as assigned.

Within the portfolio, can answer:  how much space is currently available, what are the workplace conditions, and what are headcount projections by business unit? Specifically, the responsibilities include:

Provides a single point of contact for business unit-related planning questions.Proficiently develop space and migration strategies on an enterprise-wide basis.Lead and facilitate regular client space solution meetings.Summarized findings and recommendations for action or consideration by the client.Report the status of major initiatives affecting planning decisions for the sites.Develop migration plans and sequencing of group-level moves.Facilitate and/or resolve planning issues identified in customer planning meetings.Ensures planning is aligned with corporate guidelines, strategic master plans/initiatives, and that all scenarios maximize use of space.Recommend, educate, and enforce space policies/standards, procedures and protocols and notify client of customer requested exceptions.Assist in developing site-specific Planning Strategies with Senior Leadership.Track and report actual seat supply and demand at the group level.As necessary, participate in project planning meetings.Review building/departmental specific stacking plans.Report the current supply and capacity, and forecasts inventory changes.Facilitate resolution of space and facility issues.Monitor layout, design, and space plan of facilities in relation to proposed move plans.Apply advanced methods of space design and planning.Maintain outstanding relationships with internal and external customers to understand business requirements.Apply data and metrics that are important to client and JLL success. Gather and track accordingly.May train, develop, and evaluate JLL associates.Other duties as assigned.

Interaction

To ensure accurate reporting of information, and foster critical relationships between various individuals and organizations, communication channels will exist with:

Coordination with the RPM team to review and approve complex moves, develop migration plans.Business Unit leadership to collect headcount forecasts, resolve headcount forecast discrepancies between leadership’s numbers and those collected at the group-level.Corporate Finance and HR groups to gather forecast plans and Top-Down projections.Strategic Occupancy Planning to review and resolve planning forecasts, needs, concerns, and issues.Collaborate with Project Management and Facility ManagementWorkplace Strategy team to understand workplace initiatives and strategies.Project delivery teams to review occupancy strategies and to provide workload forecast related to projects that are planned to occur based on occupancy plans/strategy.Other internal client teams participating in space and portfolio strategies.Occupancy Planning team to ensure cross campus/portfolio strategy plans are developed.

Technology Proficient

Ability to utilize software to support planning solutions and communicate ideas clearly with planning team and lines of businesses:

Proficient in AutoCAD to produce basic test-fits and square foot calculations.Proficient in Microsoft Excel i.e. (V-Lookups, cell calculations, pivots, etc.)Strong ability to work in all the Microsoft Office suite software technology.Ability to navigate through Adobe creative suite products.

Activities / Deliverables

Maintains Team level Allocation plans. Allocation plans include supply and capacity information for the portfolio, group stack and block plans.Consolidate data and floor plans into Power Point for presentations for client and lines of business.Facilitates and/or resolves issues identified during customer planning meetings.Attends meetings for new real estate acquisitions, major renovation projects and large projects development.Facilitates communication between other occupancy planners, CAD administrators, and other JLL team members.

Education / Years of Experience

Bachelor’s degree in architecture, Interior Design, or related field with a minimum of 5-7 years experience in a corporate environment. Previous experience in space/occupancy planning at a strategic level, plus experience with interior office renovations.
