Job Description Summary Provide professional and administrative support to the Office of Admissions. Provide support for prospective students and their support network, and high school counselors and teachers in regards to the admissions process. Essential Duties & Responsibilities (other duties may be assigned) • Serve as an integral part of our domestic application processing team by uploading application materials, releasing admissions decisions, and running daily error reports • Answer main admissions phone lines, return voicemails and respond to general Admissions email • Analyze and update data from application to Slate and Banner • Troubleshoot issues as needed when pushing applications through the process • Compile and organize high school and college transcripts for entry into Slate/Banner • Process and distribute delivered mail • Address discrepancies regarding applicant’s residency • Maintain high school CEEB codes • Assist with mailing of acceptance packets, deposit packets, and parent guides • Interact with administrative units including academic departments, Financial Aid, Registrars, Payroll Services, and Graduate School • Assist with managing duplicate applications • Troubleshoot prospective student login information • Assist with the supervision of front desk students and assign them projects as needed • Assist with daily campus visits by helping guests register, greeting guests, and answering questions • Assist at large-scale on-campus recruitment events including Open House and Preview Day • Commit to continuously improving and thinking of outside-the-box solutions that would improve our admissions process • Take an active role in staying current with Michigan Tech news, events, facts, figures, degree programs, and related institutional information • Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives • Apply safety-related knowledge, skills, and practices to everyday work • Other duties as assigned Required Education, Certifications, Licensures (minimum requirements) ● High school diploma, or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired Required Experience (minimum requirements) ● 3 years experience in clerical or administrative support ● 3 years experience using personal computers, basic software packages such as Microsoft Office Suite and Google Suite ● 3 years experience in a customer service setting Desirable Education and/or Experience ● Bachelor’s degree, or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired ● Experience working with databases or CRM systems such as Banner and Slate ● Experience working in high school setting or higher education Required Knowledge, Skills, and/or Abilities (minimum requirements) ● Excellent interpersonal, customer service and oral/written communication skills ● Demonstrated ability to work effectively under conditions with frequent interruptions and meet established deadlines ● Demonstrated ability to be highly self-motivated, prioritize multiple tasks in a proactive manner ● Demonstrated ability to independently organize and prioritize customer service and work assignments in a complex work environment ● Demonstrated knowledge of proper grammar, spelling, and punctuation ● Demonstrated ability to pay extreme attention to detail ● Demonstrated ability to learn technical CRM software and computer- based applications ● Demonstrated ability to effectively adapt to change ● Demonstrated ability to work as a member of a team and communicate across cultural boundaries ● Ability to use judgment when dealing with confidential information ● Demonstrated commitment to contribute to a safe work environment Desirable Knowledge, Skills, and/or Abilities ● Knowledge of Michigan Tech ● Demonstrated knowledge of Banner ● Demonstrated knowledge of Slate or other admissions CRM ● Demonstrated ability to protect data with integrity ● Demonstrated success in, or potential future contributions to, working with persons from diverse backgrounds, creating a sense of belonging, and fostering a fair, objective, welcoming place to work for persons with a wide variety of personal characteristics and viewpoints. ** Work Environment and/or Physical Demands WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
