Corporate Servicesplays a key role in managing the Corporate Real Estate and Work Space Environment for the Bank. Corporate Services are involved in project management, branch network development and design, facilities management, environmental and energy monitoring, fixed asset administration as well as being the custodian role of the property/premises expenditure planning for the Bank.
We are currently seeking a high caliber professional to join our team asSenior Portfolio Manager.
The role holder is involved in all aspects of the management of Facilities Management and Security in all Bank facilities in Malaysia and will work interactively with internal colleagues to reach an acceptable and defensible risk assessment on a variety of issues.
Principal responsibilities
Portfolio Manager is responsible for managing the real estate portfolio, covering transactional activity and estates management, combined with with responsibility for all Transaction, Estates and Portfolio Management outsourced suppliers deployed to deliver these services.
The role holder’s key tasks will include the following:
Management of all portfolio and leased related activities in the country to ensure actions are dealt with in a timely, structured and efficient manner to maximise value for HSBC. Pro-active critical date management of all lease related activities, ensuring that our outsourced partners are engaged early in the process to engage with Landlords and third parties to ensure successful delivery of all transactions.Management of HSBC’s transaction partners to ensure the management of the portfolio is conducted in-line with HSBC’s objectives and standard operating procedures.Close alignment with the Portfolio Strategy team and input into site strategies to ensure both long term operational and financial deliverables are met.Direct ownership of all business cases in the country that relate to leasing, selling or purchasing assets. This includes management of the business case template and financial model.Evaluation of site strategies, including stay vs go modelling and financial appraisals to determine the optimum solution for HSBC.Management of the Portfolio Management AOP in relation to rent, service charge, tax and insurance related costs for all sites in the sub-region.Working very closely with other Corporate Services functions to ensure full alignment on all strategic projects in the country. This includes chairing regular project meetings to ensure all stakeholders are fully briefed and aware of actions.Serve as key relationship interface and supplier manager at a country level to external strategic partners for Transaction, Portfolio Management and Data Management services. Management of portfolio data, its accuracy and completeness, ensuring all changes and updates are submitted in a timely manner in accordance with SOPsEnsure all transactions are properly recorded on the Transactions Tracker. Ensure all Due diligence (Sanctions and ABC) are completed in the sub region.Engagement with the external supply chain if required, including involvement of any procurement process (if/ when applicable) in relation to Transactions, Estates or Data Management. Manage and/or support any Insurance Reinstatement Cost Assessments and annual Asset Valuations, instructing and liaising with the supplier(s) as necessary.Provide input to the Portfolio Data Management team on performance and suggested enhancements to technology and reporting platforms (e.g Horizon / Salesforce)Countries with outsourced Estate Management Contract (Malaysia);o Oversight of all aspects of the Supplier’s performance, reviewing standardised KPI’s and customer satisfaction surveys
o Understanding of the Supplier’s business, including any major changes in their financial position and customer base
o Ensure the required local due diligence checks are completed in Country, where not covered at a global or regional level
o Organise and chair formal review meetings to ensure performance and customer satisfaction is being maintained
o Responsible for escalation for exceptional non-performance, escalating issues of underperformance, process, or failings of due diligence to protect the bank’s exposure to risk.
