Fellowship Summary:

The Dana-Farber/Mass General Brigham training program in hematology/oncology is a renowned joint program between Dana-Farber Cancer Institute (DFCI)/Brigham and Women’s Hospital (BWH) and the Massachusetts General Hospital (MGH) that prepares academically oriented physicians to become leaders in clinical and laboratory investigation and clinical teaching. The program’s sponsoring Institution is Brigham and Women’s Hospital, and the leadership of the program includes Dr. Ann S. LaCasce (DFCI), Program Director; Dr. M. Dror Michaelson (MGH), Deputy Program Director; and Assistant Program Directors located at each of the three institutions. This multi-year fellowship program includes clinical rotations at each hospital as well as time devoted to research in a basic or translational laboratory, in population science, or performing clinical research in the context of a disease center. Currently, there are 60 fellows in the Dana-Farber/Mass General Brigham Hematology/Oncology Fellowship Program.

 

POSITION SUMMARY:  

Reporting to the Administrative Director of the Fellowship Program, the Senior Program Administrator collaborates in setting program goals and strategies to drive effective fellowship program outcomes, while overseeing the day-to-day operations of the fellowship program, ensuring smooth coordination across all activities. Under minimal supervision, this role works closely with numerous departments, both internal and external to DFCI. Leveraging a variety of data management tools, the Senior Program Administrator develops and implements program plans including timelines, budgets, and resource allocations in addition to producing comprehensive program reports, conducting in-depth analysis, and making recommendations for strategic improvements. The Senior Program Administrator also plans, schedules and oversees all educational seminars, academic meetings, collaborations and partnerships, and Institute-approved special events each academic year. Additionally, this role manages and leads the Clinical Competency Committee (CCC) and Program Evaluation Committee (PEC) meetings, ensuring meeting documentation, minutes, and action items are distributed and executed. This role serves as a primary resource to the fellows throughout the lifecycle of the fellowship program, provide guidance, resources, and support as needed.

 

Knowledge of or experience with the Accreditation Council for Graduate Medical Education (ACGME) policies and procedures is preferred to ensure effective compliance with complex policies, procedures, and program guidelines. Experience using clinical software, such as Epic or New Innovations, is also beneficial.

 

Responsibilities Collaborate in setting program goals, and strategies, to drive effective outcomes. Develop and implement program plans, including timelines, budgets, and resource allocation.Staffs or leads program meetings including preparing agendas, generating minutes, following up on action items and supporting related program initiatives and projects.May supervise program administrative staff providing guidance and mentorship.May oversee the planning and execution of seminars, meetings, and special projects.Create robust data collection and management tools to ensure seamless program operations. Use these tools to track research and program progress.Serve as point of escalation to proactively resolve issues related to program initiatives.May plan, develop and engage in marketing and advertising efforts to promote the program through various channels such as social media, email newsletters or community outreach efforts May develop or update content for websites and social media platforms.Communicate program updates and progress reports to stakeholders and leadership. Keeps all members of the team up to date with relevant program information. Ensure compliance with program regulations and guidelines.Represent the programs externally at community meetings and events to foster collaborations and partnerships.Manage relationships with program partners and vendors.May monitor and evaluate program effectiveness, identifying opportunities for improvement.Recommends program enhancements as necessary by evaluating program data and/or researching and analyzing industry trends.As part of programmatic work may support and assist institute-wide cross-departmental projects and initiatives.Monitors budget, track expenditures/transactions, and handle financial administration projects as it pertains to the program.May work on special assignments and projects as needed. Qualifications High School Diploma required.  Bachelor’s degree preferred.8 years of progressively responsible administrative experience in a medical or scientific research setting or comparable technology-oriented business environment required, of which 3 years must be in a program administration role.

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Excellent written and oral communication skills.Advanced knowledge of computer applications including Microsoft Office Suite, Google Suite, Zoom, Adobe.Advanced knowledge of trends, issues, and accepted practices relevant to the position.Excellent attention to detail skills and the ability to analyze and interpret data and metrics.Exceptional customer service skills and the ability to interact professionally with peers, leadership, and external contacts.Excellent organizational and project management skills, with the capability of handling and coordinating multiple tasks and projects at the same time.Solid knowledge of budget management and financial analysis.Ability to work collaboratively with cross-functional teams and build strong relationships.Understanding of program regulations and compliance.Ability to apply independently a wide variety of policies/ procedures where specified guidelines may not exist.Demonstrated leadership experience.

SUPERVISORY RESPONSIBILITIES:           

May supervise program administrative staff.
