SENIOR PROGRAM COORDINATOR, Questrom School of Business, Graduate Admissions & Financial Aid

Reporting to the Director of Operations within the Graduate Admissions and Financial Aid Office (GAFAO), the Senior Program Coordinator (SPC) for Residential MS & PhD Programs plays a key role in managing the end-to-end application process for our residential MS & PhD degree programs. This position involves handling candidate inquiries, ensuring thorough application audits, and overseeing the test record accuracy for applications to Questrom.
Job Function 1 (50%) - Application Updates
Collaborate with the other SPCs to supervise the processing of applications for all residential programs, ensuring accuracy and efficiency.
Oversee the regular review of IELTS and TOEFL exam scores shared with the Graduate Admissions & Financial Aid Office.
Conduct regular audits to maintain and update application records in the Salesforce database to ensure accuracy and completeness.
Communicate application status to applicants and address inquiries, actively working towards obtaining complete records for all applicants.
Collaborate proactively with the CRM Systems Manager to identify and implement ongoing enhancements to the Salesforce database.
Job Function 2 (40%) - Candidate Inquiries
Respond promptly and effectively to candidate inquiries, delivering essential information and support throughout the application process.
Efficiently manage inquiries related to residential MS & PhD programs in the MBA inbox, aiming for a 2-3 business day turnaround for replies.
Log and track the new documents received in the MBA App Docs inbox, ensuring accurate logging in Salesforce and timely addition to the relevant application.
Identify opportunities for process enhancements, contributing to ongoing improvements in responsiveness and efficiency.
Job Function 3 (10%) - Front Office Support
Respond to phone calls, emails, and in-person visitors, offering backup assistance to prospects, inquiries, and applicants.
Ensure a supportive and seamless experience for individuals interacting with the admissions process.
Required Skills
A cover letter is required for consideration.
+ Associate's Degree, B.S./B.A. preferred, strong attention to detail, required.
+ Strong oral and written communication skills, ability to juggle multiple tasks and meet deadlines, and one to three years of experience in fast-paced customer service environment.
+ Occasional evening and weekend work required.
