Reporting to the Assistant Director, the CUNY Internship Programs (CIP) is seeking an organized and self-motivated Senior Program Manager with excellent detail-oriented, analytical, and interpersonal skills to help support internship programming with New York City agencies, including New York City Department of Education (DOE). Reporting to the CIP Assistant Director, the Senior Program Manager will assist in managing the portfolio and day-to-day operations and fiscal responsibilities.
The ideal candidate will be solutions-oriented with strong communication (written and verbal), procurement and budget, and planning and project management skills. The candidate will also have experience thinking creatively to solve challenges while addressing the needs of multiple stakeholders.

DUTIES AND RESPONSIBILITIES
Leadership & Development
+ Support leadership, including the CIP Assistant Director and Director, in overall strategic planning, coordination, development and implementation of program initiatives, professional development activities, and other projects to meet targets and goals
+ Assess, recommend, and improve current internship programming to optimize operations, systems, and processes
+ Oversee the continued development, implementation, monitoring, and evaluation of the program’s operations, policies, and documentation from recruitment through post-program support
+ Cross-collaborate with teams and ensure seamless communication and coordination with CUNY campuses and external partners
+ Supervise staff, including the DOE Program Manager on day-to-day communications and administrative tasks
Communication & Partnerships
+ Working with leadership, develop partnerships with key agencies to enhance the project and support program interns
+ Develop and implement strong systems and tools to streamline seamless communications and functions with external agencies and internal stakeholders
+ Develop and host info sessions, orientation and presentation for both partners and interns throughout key milestone of the internship program and present information about CUNY Internship programs to an array of audiences.
+ Collaborate with agency partners to request and finalize budget allocation and agreements; and meet with RF teams to ensure funds are accurately allocated in a timely manner and efficiently disbursed
+ Provide exemplary and timely customer service to all project stakeholders including prospective and existing interns, intermediary partners, & CUNY and RF CUNY staff
Onboarding and Personnel Actions
+ Review internship applications to carefully assess interns’ candidacy and identify prospective interns and match candidates with appropriate positions at partner sites to ensure expeditious placements
+ Develop and implement trackers to enhance monitoring of intern time worked against expected hours and rectify low attendance effectively and expeditiously
+ Oversee intern hiring and termination process in partnership with the CUNY Office of Academic Affairs Personnel Services team including preparing onboarding paperwork
+ Interface with interns, intermediary and employer partners, and CUNY and RF CUNY staff to provide excellent and timely customer service to all project stakeholders
Budget & Payroll
+ Manage the budgeting and payroll process for student interns while cross-collaborating with Finance and Personnel teams.
+ Support CIP Assistant Director and Directors in creating, modifying, and monitoring budgets for internship programs
+ Coordinate and ensure agency partners and student interns are provided with login credentials and granted access to RF portal for timekeeping such as creating, submitting and approving timesheets
+ Responsible for the timely processing of payroll, sub-contracting, and invoicing process for student interns and employer partners in partnership with Personnel Services and the OCIP Grants and Operations team
Data Tracking and Reporting
+ Draft program reports, summaries, and memos for leadership as needed
+ Data entry and maintenance, ensuring accuracy and integrity of all project data, maintaining online e-file system and databases, including the RF CUNY timesheet portal
+ Provide customer service to all project stakeholders, and troubleshoot situations as they arise
+ Conduct training in understanding and using the time/leave system as well as program compliance
+ Ensure the process of terminations and resignations are expeditiously completed
+ Cross-collaborate with CIP team to gather and analyze program data and marketing materials
Other Duties
+ Attend staff, committee meetings and training as required
+ Perform special projects and other duties as assigned
Qualifications
Preferred
+ Bachelor’s Degree with a minimum of three years of relevant experience, or Associate’s Degree with a minimum of five years of experience, or equivalent combination of education and experience, supporting programs in education, workforce development, or business development
+ Strong user of all MS Office/365 products, Excel, and aptitude to quickly pick up new systems. Knowledge of any of the following a plus: the CUNY system, CRM platforms
+ Excellent virtual and in-person presentation skills to large audiences
+ Demonstrated ability to work independently and collaboratively with diverse populations in a fast-paced and high-volume work environment
+ Ability to exercise sound judgment and think on one’s feet to quickly analyze and solve problems
Minimum
+ Detail-oriented and organized, with the ability to manage multiple assignments and meet deadlines
+ Strong verbal, written, and interpersonal communication skills, with a customer-focused approach to working and comfort communicating with college students.
+ Familiarity with higher education, internships, budgets, and student management technologies
+ Proven critical thinking skills with experience analyzing data and budgets to drive decision making
Physical Requirements
+ This is a 70/30 hybrid position, subject to change. Remote work arrangements are not a right or entitlement of employment and, as such, are discretionary and subject to operational needs unless otherwise provided by the CUNY Flexible Work Guidelines. A laptop may be provided if needed to support working remotely. Ability to travel to multiple sites throughout NYC.
