Job Summary
Over the past three years, the Gynecological Oncology section has grown rapidly. This role will support the growing Gynecologic Oncology section by assisting with data collection, administrative tasks, and clinical trial management across seven locations. The incumbent will help maintain on-call schedules, manage records, and collaborate with research coordinators to increase clinical trial participation. Additionally, they will work closely with the Clinical Section Administration.
Responsibilities
This role will contribute to the implementation of shared resourcing tools, such as a Wiki, to improve collaboration and knowledge sharing within the organization.
Implements and maintains call schedules using QGenda.
Co-Creates, develops, and maintains department newsletter and marketing.
Assists and coordinates business development initiatives associated with Physician Relations aimed to grow the practice.
Develops training opportunities and communications cross clinical sites on guidelines and best practices for standard of care and clinical trials.
Supports and collaborates on the development and maintenance of standardization standard operating procedures.
Works closely with research faculty to maintain their schedules and clinical time allocations through use and management of scheduling software.
Assists departmental leaders in managing the fiscal health of the department and initiating projects related to the departmental strategies.
May manage special projects or functions related to the business of the organizational unit.
Analyze and present data regarding allocated clinical time against department budgeted targets.
Collaborate with Section Administrators in creating quarterly status reports for Section Chiefs.
Assist Section Administrators in proposing year end budget targets based on the prior year clinical effort.
Professionally supports the clinical department management. Implements plans for clinical educational programs and initiatives.
Monitors finances for the clinical section. Provides management with regular updates and ensures that spending limits are adhered to and are within budget.
Assists faculty in the pursuit of grants and awards. Conducts special studies and projects, including the development and enhancement of funding opportunities by working closely with the faculty in the section.
Acts as a liaison between the section and other University departments.
Performs other related work as needed.

Preferred Qualification
Experience:
Previous administrative experience strongly preferred.
Previous experience at an academic medical center strongly preferred.
Familiarity with central administration within a complex research university environment.
Experience operating basic computer applications including but not limited to MS Office and Outlook.
Previous experience using scheduling software such as Qgenda/WIKI strongly preferred.
Previous experience in the OB/GYN field.
Prior experience creating and implementing marketing materials including but not limited to newsletters.
