Key Responsibilities:
GENERAL
Get involved to know the CWDB workflow.Be organized to keep the good structure of projectsIs responsible of the coordination of the project with the internal team and the clientIs and remains the client key contact until the final acceptanceSALES & BRIEF PHASE
In collaboration with the Sales, participate to pitch when necessary.Coordination with Office Agency and Tenant Acquisition teamTake the ownership of the project as from order or PA signature.Lead the information requirements process with interviews, checklists and meetings with clients.Organize vision management meeting and interviews with Head of or ambassadorsSummarize and be responsible of the coordination of all received info.Will define the team needed to cover the project in accordance with the workload of the team members (as from the start of the project, the team is introduced to client)Coordinate relations to study offices (STAB, MEP, HSSQ, ACC, …) if the project needs it.Supervise the change management with the external change specialist if the project demands it.Will ensure the transfer of information coming from the client to the team and be sure of the acknowledgment of this info by the team.Be responsible of the adequation of existing documentation with the reality, with site visits and surveys.Fill the administrative info of the project in BeProd and Teams (contacts, area of project, hours capacity, …)Hold the “Look and Feel” workshop with client and team expertises (design, furniture specialist, …)Organize the validation of the macro plan.CONCEPT DESIGN PHASE
Hold the workflow process on Teams up-to-date, assign tasks and set delays regarding the estimated planning given by the project.Will plan a weekly meeting with the whole project team to follow and be sure that each step of the workflow and of the project are fully understood by each team member.Will lead each validation meetings and site meetings on a regular basis or key moments.Write the minutes of the meetings and organize the diffusion.Follow the realization vs budgeted hours.Organize validation of conceptual plans et designs by client meetings.Follow the matching of the project with the estimative budgets and plannings.DETAILED DESIGN PHASE
Hold the workflow process on Teams up-to-date, assign tasks and set delays regarding the estimated planning given by the project.Will plan a weekly meeting with the whole project team to follow and be sure that each step of the workflow and of the project are fully understood by each team member.Will lead each validation meetings and site meetings on a regular basis or key moments.Write the minutes of the meetings and organize the diffusion.Follow the realization vs budgeted hours.Organize validation of detailed plans et designs by client meetings.Follow the matching of the project with the budgets and plannings.Collect external detailed studies (STAB, MEP, HSSQ, ACC, …) and organize the coordination with CWDB detailed plans. Organize the clash detection process and communicate it to external offices.Be responsible of the good achievement of all aspects of the detailed design, including technical aspects.Organize with Q&S and the PM the selection of suppliers and prices requests.Check the offers validation process with PM and Q&S.Facilitate the writing of TK contract with SALES, by providing annexes (plans, budgets and plannings).Lead with SALES the TK signing meeting by presenting the TK book of plans, budget and planning.EXECUTION PHASE

Hold the workflow process on Teams up-to-date, assign tasks and set delays regarding the signed planning given by the project.Organize the handover with the PM by preparing the visit with the client and setting up the snaglist in Aproplan.Accompany the PM and the client in the provisional acceptance site visit and be responsible of the signing of the provisional acceptance minutes by the client.AS-BUILT PHASE
Hold the workflow process on Teams up-to-date, assign tasks and set delays regarding the signed planning given by the project.Organize the update of the Book of plans.Be responsible of coordination of updated documents with HSSQ coordinator for the constitution of the as-built file.Be responsible of the final Financial statement with the client.Organize the signing by the client of the End of Mission documentation.Organize the internal archiving of documentation on server disks.Knowledge & Experience:
