Role description:
To become part of the Pursuit and Sales Enablement Team (PSET) coordinating and managing proposals for all parts of the Arcadis businesses.
Role accountabilities:
Assist the Team Leader in training the Proposal Coordinators, provide guidance to the team on the Arcadis Way of Client Development and liaise with section managers on required trainings Manage the team's workload by assigning requests to Proposal Coordinators and ensure timely submission of deliverables by monitoring team's work progress and assigning additional resources or adjusting time shift, if necessary Review and evaluate the proposal documents including technical, financial and provide guidance on any risks realised. Work collaboratively with the Regional Pursuit Teams and Bid Managers to prepare proposal matrix plans to meet the objectives of Clients and to determine the key win themes/messages needed throughout a proposal. Manage proposals to the Arcadis Way of Proposal Management for high level of service to the business. Respond to Expressions of Interest (EOIs) or Requests for Qualifications/Quotations (RFQs) and other proposal-related requests and ensure that the response is compliant with RFP or EOI requirements. Obtain support from other departments (including marketing, HR, finance & technical) as required in preparing the proposal. Assist in creating and updating client specific capability statements and presentations. Obtain feedback from proposals for “lessons learned” to incorporate in future proposals. Provide section managers weekly summary of team's activities, including active proposals and resource distribution Collaborate and interact with diverse Arcadis colleagues throughout Arcadis globally. Responsible for coordinating the pursuit process from kick-off meetings through the production of client response template, editing, formatting, collating, proofreading and electronic delivery of proposals such as Expressions of Interest (EOIs) or Requests for Qualifications/Quotations (RFQs) and other proposal-related requests. Understand the bid process and work collaboratively with the Pursuits Team to build bid plans and schedules. Facilitate gateway proposal meetings with the Pursuit Team, bid meetings, approval meetings and chasing of identified actions, as required. Create proposal templates for submissions when the Centralized Bid Team does not have capacity. Support with Client Development needs across all sectors and countries. Contribute, participate and provide support on the continuous process improvement of the Manila Shared Services Team. Perform other related tasks as neededQualifications & Experience:
Proficiency with MS Office Application. Knowledge in Adobe Creative Suite (InDesign, Photoshop) is an advantage. With minimum of five years of experience coordinating, scheduling, editing, and producing proposals, statement of qualifications, reports, pre-qualifications, or presentations. Supervisory experience is an advantage Bachelor's Degree (Marketing, English, Business Administration or Engineering related etc.) Excellent English verbal and written communication, strong computer skills with proficiency in MS Office Suite, especially Word and Presentation and lnDesign. Experience in using AdobeAcrobat Outstanding organizational and logistical skills Ability to work under intense deadlines and respond to last minute requests and compressed production schedules.
