Senior Roadshow Coordinator

Job Summary:

Under limited supervision, uses knowledge and skills obtained through education, experience, specialized training and/or certification to plan, execute and manage assigned roadshows, marketing events, investor field trips and analyst marketing trips. Collaborates on projects of moderate scope and complexity and serves as a technical advisor to others. Guidance is provided to perform varied work that is difficult in nature, requiring evaluation, originality and ingenuity to make moderately complex decisions. Resolves or recommends solutions to complex problems. Extensive contact with internal clients and vendors is required to identify research and resolve problems and coordinate work efforts.

Essential Duties and Responsibilities:

•Primary focus is to plan and execute assigned roadshows, marketing events, investor fieldtrips and analyst marketing trips.

•Take ownership of assigned roadshows and marketing events; primary contact for both internal and external clients.

•Coaches and mentors other roadshow coordinators; provides training in roadshow marketing procedures and logistics.

•Maintain database of logistical resources.

•Create event invitations, schedules conference calls and coordinates ground transportation. Serve as liaison between internal and external clients; provides regular updates and final schedules to event participants.

•Provide logistical support and recommendations for all aspects of assigned roadshows and marketing events.

•Provide venue and supplier selection and maintain relationships with catering managers at hotel and other venues. Ensure that corporate travel policies are applied in event preparation.

•Responsibilities for conferences include coordination of 1x1 meetings between corporate clients and institutional investors. Provide on-site support as required.

•Collaborates with internal customers on meeting logistics, including food and beverage, audio/visual requests and other special needs and communicates with the meeting facility.

•Organizes small group functions for specialized events, including off-site activities, transportation and entertainment.

•Provide support and back-up to other team members.

•Performs other duties and responsibilities as assigned.

•Advanced concepts, principles and practices of financial services/corporate access and Equity Capital Markets

•Corporate travel policies.

•Database management.

•Excel, Word, PowerPoint and other applications necessary to perform job functions.

Skill in:

•Researching, planning and arranging roadshows, marketing events, investor field trips and analyst marketing trips.

•Establishing and maintaining relationships with hotels and other meeting space providers, as required.

•Gathering and communicating customer requirements.

•Organizing small group activities in conjunction with industry events.

•Providing on-site coordination of meetings and events, as required.

•Managing event budgets and preparing vendor disbursement payments and expense reimbursement.

•Operating standard office equipment and using required software applications.

Ability to:

•Coach and mentor team members and provide training in roadshow planning methodologies.

•Partner with other functional areas to accomplish objectives.

•Ability to set goals, prioritize and work in an organized manner while adhering to tight deadlines.

•Facilitate meetings, ensuring that all viewpoints, ideas and problems are addressed.

•Incorporate needs, wants and goals from different business unit perspectives into meeting or event plans.

•Attend to detail while maintaining a big picture orientation.

•Incite enthusiasm and influence, motivate and persuade others to achieve desired outcomes, without organizational authority.

•Interpret and apply policies and identify and recommend changes as appropriate.

•Prioritize and manage multiple projects in a fast-paced, dynamically changing environment.

•Communicate effectively, both orally and in writing.

•Work independently as well as collaboratively within a team environment.

•Lead others in providing a high level of customer service and provide guidance in handling stressful situations.

•Establish and maintain effective working relationships at all levels of the organization, including negotiating resources.

•Maintain professional currency.

Educational/Previous Experience Requirements:

•Bachelor’s Degree (B.A.) in a related discipline and a minimum of five (5) years in corporate access and /or financial services.

Licenses/Certifications:

•Certified Meeting Professional or ability to obtain certification.
