Service Coordinator



 

The Service Coordinator is responsible for coordinating the required personnel and equipment for maximum efficiency while exceeding our safety and service requirements. As the main point of contact between GFL and our Automotive Fluid Services (AFS) customers, the Service Coordinator will have exceptional communication skills with an eye for detail and understanding of the work performed within the division. 


This is a one year contract with a possibility of extension.

Job Duties

Accountable for upholding the GFL safety and service standards within the AFS Division

Management of all inbound and outbound AFS customer calls including the scheduling of customer call-in’s based on scheduling parameters

Maintaining all customers service schedules in Winnipeg and surrounding areas

Perform driver check-ins at day’s end to ensure complete and accurate paperwork completion

Distribute, collect and review route sheets for proper days end data entry.

Ensure coordination with other departments, clarifying roles and responsibilities for resolving service issues.

Interacts with customers, customer service department, sales, & Operations staff reporting to Operations Manager.

Trouble shoots and resolve potential delivery and pickup problems before they result in service issues

Assists in determining daily level of driver staffing to provide best mix of responsiveness and productivity

Record and document information from drivers and distribute to appropriate departments

Communicates with maintenance shop personnel to plan truck service and down times

Must be able to communicate effectively and professionally via email, telephone and two-way devices

Provide final review of invoices prior to submission to client. Invoice review will include ensuring the correct equipment, rates, hours and supplies are used on the job(s).

Confirm accuracy between system information, received paperwork and billing rates / client history

Investigate and resolve billing discrepancies and provide follow up as required

Prepare monthly invoices / billing summaries as required by the client

Review purchase order assigned to the service order to ensure billing accuracy. Follow up with the customer if PO modifications are required.

Other projects as requested by the Operations Manager

  Requirements

Completion of high school. Post-secondary courses or diploma would be considered an asset.

1-2 years in a transportation, dispatch or customer service role.

Additional or specialized training in transportation, logistics, or similar area of study; customer service experience in a call center environment

Waste management industry experience an asset

Strong communication and interpersonal skills.

Proven ability to multi-task & ability to prioritize tasks.

Proficient in MS Outlook, Excel, Word.

Advanced skill level with software applications and word processing accuracy including adequate typing speed.

Attention to detail and organized

Passion for working in a fast paced environment
