Summary: Under the direction of the Director, the temporary intermittent Shareholder Services Coordinator will serve as the first point of contact for visitors and clients, ensuring a positive and welcoming experience. This role will also provide administrative support to the Shareholder Services Department on an as-needed basis. The ideal candidate will be proficient in Microsoft Office Suite, capable of managing diverse administrative tasks, and adaptable to an intermittent schedule. Responsibilities Essential Job Functions: Maintain a professional and welcoming reception area Greet visitors, answer incoming calls, and direct inquiries to the appropriate staff Notify appropriate personnel of visitor arrivals via phone, email, or Microsoft Teams Provide excellent customer service to clients, guests, and employees Ensure presence at the reception area during scheduled working hours and notify supervisor of any absences Monitor and replenish office supplies and propose cost-saving measures Ensure office equipment, such as copiers and printers, is in working order Receive and organize incoming documents for accurate and timely processing Draft letters, memos, and forms using word processing tools Update and maintain accurate shareholder information in the database Assist with planning and preparation for the annual shareholder meeting and shareholder information meetings Schedule and coordinate classroom meetings, ensuring spaces are prepared with necessary equipment and supplies Communicate effectively with internal teams to avoid scheduling conflicts Assist with data entry, email correspondence, photocopying, faxing, mailing, and filing Collaborate with team members to streamline office processes and enhance overall efficiency Assist with special projects as assigned Qualifications Necessary Skills and Knowledge: Outstanding high quality customer service skills both internally and externally Must possess excellent professional telephone skills and ability to operate a multi-line phone with heavy volume of calls Ability to comprehend and follow oral and written instructions, procedures, and guidelines with the capability to apply them to various situations Ability to handle sensitive information with discretion, tact, good judgment, maturity, timeliness, accuracy and with limited supervision Good knowledge of grammar, business English, company organization, policies, and procedures Familiarity with office equipment and basic troubleshooting Working knowledge of mail processes such as postage machine, Federal Express and UPS Ability to embrace change, learn quickly, and thrive in a dynamic corporate environment Skill in working harmoniously within cross-functional teams to achieve common objectives Ability to prioritize tasks, manage multiple projects, and meet deadlines Possesses attention to detail and effective problem-solving skills Must have the ability to communicate effectively and diplomatically, both verbally and in writing, with co-workers and with outside agencies, partners, shareholders, and business associates Strong cultural awareness and sensitivity, with the ability to adapt messages and strategies for diverse audiences Highly proficient with standard software applications, including Windows and MS Office Suite (Outlook, Word, PowerPoint, and Excel) Minimum Qualifications: Associates degree with 2 -3 years’ experience OR a Bachelor's degree with 4 years’ experience OR a high school diploma/equivalent with 6 years’ related and demonstrated work experience Previous experience that includes administrative tasks such as greeting clients, answering multi-line telephone, typing, filing, sorting mail, Microsoft Office and providing administrative support Ability to successfully pass a background check Preferred Qualifications: Experience using SharePoint Knowledge of Stock Track is a plus Previous experience working with Alaska Native Corporations (ANCs) Pay and Benefits At Goldbelt, we value and reward our team's dedication and hard work.
