The Administrative Assistant will support the Site Lead and Central Operations AUS11 ADCO Leadership Team. A successful candidate will be highly organized, extremely detail-oriented, self-motivated, and able to handle confidential information, as well as demonstrate the ability to respond effectively to changing workloads and priorities.
Key job responsibilities
Lead the planning and execution of site events, employee engagement activities, and team building initiatives with minimal supervision • Completing expense reports, manage engagement budgets, maintaining schedules, planning events, and coordinating meetings or events for the staff
Photocopying, faxing, typing meeting notes, making travel arrangements.
Creating presentations using graphics
Maintaining confidentiality and professionalism at all times
Purchasing non-inventory items for the facility (like stationery, tea, coffee etc)
Ensuring the facilities and breakrooms are maintained to a high standard
Being able to juggle multiple conflicting priorities at any one time
Able to undertake ambiguous tasks with little direction.
Basic Qualifications
Required Qualifications: • Strong organizational skills with the ability to handle multiple priorities simultaneously • Excellent communication and interpersonal skills • Proven track record of proactive problem-solving and decision-making • Ability to manage projects leveraging a planning platform (such as Asana/Quip/Excel) • Proficiency with the Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) · 2+ years administrative support experience in a related field · Ability to create graphs in Microsoft Office products · Availability to work days or nights scheduled, with flexibility for weekend coverage as required
Preferred Qualifications
· A completed Bachelor’s Degree from an accredited university · High level of integrity and discretion · Strong analytical skills and attention to detail ·
• Experience with facilities management systems and procedures • Previous experience in corporate event planning and execution • Knowledge of health and safety regulations • Proficiency in Microsoft Office Suite and relevant administrative tools
