MITRE is seeking a Site & Division Administrative Assistant who will be responsible for supporting the National Cybersecurity FFRDC (NCF) division. The Administrative Assistant will execute administrative functions for the division while exercising confidentiality and diplomacy. This role also serves as the Site Administrator for the National Cybersecurity Center of Excellence (NCCoE), a government facility. The location this position is Rockville, MD.

Roles & Responsibilities:

Manage the leadership team’s dynamic calendars, while balancing competing priorities.Plan, coordinate, and support a variety of meetings and presentations including arranging venues, room configurations, catering, preparing agendas, note-taking, assembling, and printing meeting materials, identifying audio-visual needs, etc.Serve as a point of contact for incoming phone calls, emails, mail, and visitors.Demonstrate strong self-organization and time management skills, with considerable emphasis on self-initiation, independent decision making, accuracy, adaptability, decisiveness and follow through on a broad range of administrative support tasks.Assist with various aspects of the new employee onboarding process.Work closely with the sponsor on site specific requirements including site credentials, access management, visitor registration, room reservations, and staff training.Serve as point of contact for all division purchasing, maintain supply stock, and reconcile purchases.

Basic Qualifications:

Typically, requires a 2-4 years of related work experience with a High School Diploma or equivalent education, or equivalent combination of related education and work experience.The ability to obtain, within six months from the date of hire, Department of Commerce Suitability.Expertise in Office 365 (Outlook, Teams, SharePoint, Excel, and Word).Persistent approach to follow-up on tasks, with suburb attention to detail.Excellent written, communication and interpersonal skills to build strong external and internal networks and highly effective relationships with team members, business leaders, and sponsors.Strong self-organization, problem-solving, and time management skills, with considerable emphasis on self-initiation and independent decision making.  Ability to effectively manage multiple tasks simultaneously and manage competing priorities with minimum supervision under deadline pressure in complex, fast-paced environments.Willingness to occasionally travel to McLean, Virginia to assist administrative team for large events.This position requires an on-site presence, 4 days a week, at the NCCoE site, in Rockville, MD.

Preferred Qualifications:

Experience in Concur or other travel planning systems.Experience in project management tools (TRS, Clarity, and Workday).Associates degree with 5 years of experience.
