Function/Duties of Position
The Department of Psychiatry is seeking a detail-oriented leader to co-lead the administrative team to continued success as our department’s programs and outreach activities grow. The purpose of this position is to provide back-up leadership and administrative direction to a growing department to ensure efficient and effective operations.
Under the direction and in partnership with the Vice Chair of Administration this position is specifically responsible for the oversight and management of the clinical and outreach operational and administrative functions of the Department of Psychiatry. In addition, this position will work with the Vice Chair of Administration to continue developing department-specific faculty compensation plan details, in accordance with the department’s strategic plan. This position will act as back-up to ensure all proper budgeting and financial accounting of Department accounts, including $25+M in foundation funds, $8M in annual grant direct costs and over $40M in Departmental general ledger accounts. This position will track faculty productivity.
Administration: Work with the Vice Chair of Administration to develop, implement and evaluate Department compensation plan and faculty performance in CANDID in accordance with the Department's strategic plan; keep the Vice Chair of Administration informed of any problems; coordinate facilities, space planning and remodeling, monitor all activities of the Psychiatry offices, communicate and enforce policies. This position functions as liaison between all faculty and staff in the department to ensure proper coordination of policies and procedures, with state and federal agencies, with hospitals in the community and with governing bodies of Schools of Medicine and associations as needed. Additionally, this position will attend departmental meetings, upcoming events, deadlines, planned meetings, retreats, etc. Leads clinical administrative and clinical leaders in ensure faculty presence and productivity standards are defined and communicated. Oversee accurate implementation of standards across clinical practices.Finance: Liaison with Fiscal Managers to ensure proper budgeting and financial accounting of clinical divisions and outreach contracts. Monitor and control budgets with revenue from all funding sources. Develop, analyze and manage costs and cost data for departmental annual budgets to support all functions this also includes creating proformas for faculty recruitment. Ensure appropriate internal controls for expenditures. Point of contact for Faculty in matters related to: compensation, training, billing, contract renewals, and effort allocations. This includes working closely to support all clinical and outreach functions that the faculty participate in within our Department.Works closely with Department Revenue Cycle Managers to monitor optimum collections through compliant and appropriate pricing, charge master maintenance, referrals/authorization, cash collection, charge capture, coding and timely submission.Human Resources: Supervise core department staff; responsible for recruitment, supervision and performance of core department staff; Assist with department staff processes as necessary; Ensure staff are aware of University, School of Medicine and Hospital/Clinics rules and regulations.Other: Provide input to Faculty meetings and answer questions as necessary; Carries out other leadership and administrative management functions in support of the goals of the Department of Psychiatry at the direction of the Senior Department Administrator; other duties as assigned. Required Qualifications Bachelor’s degree in Business Administration, Healthcare Administration, or related field.7 years of relevant administration experience with at least 5 years of relevant management, supervisory, program management and/or leadership responsibilities.Demonstrated understanding or desire to understand academic Psychiatry relative to the evolving changes in the delivery of behavioral health services in the organization, financing and delivery of behavioral health care and how these forces impact academic medical centers and psychiatric departments.Ability to accurately analyze complex financial and accounting data, to oversee institutional budgets, fund accounting, and revenue cycle process.Extensive knowledge of business management and administrative theory, with ability to partner in the development, implementation and management of the business and clinical processes of a psychiatric department. Leadership skills and management style that emphasizes teamwork, strategic thinking, accountability, communications (written and verbal), flexibility, diplomacy and strong work ethic. Preferred Qualifications Master’s DegreeMinimum of 5 years of experience in a complex healthcare setting. 3 years experience in a management position, in an academic department or research or basic science setting or other setting which otherwise demonstrates ability to manage a progressive, complex, operation.
