The Special Child Health Services Registrar is responsible for assuring that children are appropriately registered in the NJ State Department of Health Registry. Educates staff and physicians in various departments regarding the State Department of Health regulations pertaining to Special Child Health Services Registry. Works collaboratively with the Health Information Department to assure records are appropriately completed and retained in the medical record. Communicates and works collaboratively with State Department of Health representatives as necessary.
Responsibilities
A day in the life of a Special Child Health Services Registrar at Hackensack Meridian Health inludes:
1. Acts as system administrator for the electronic Special Children¿s registry system.
2. Through working with the medical center staff, assures that any infant who is born to a resident of the State of New Jersey prior to and up to six years of age, and who is diagnosed as having a defect either at birth or any time through the first year of life up to two years is reported to the State Department of Health using the required documentation.
3. Assures that registration is completed based on documentation by the physician; seeks clarification from the physician as necessary.
4. Before completing registration of a child, determines if the child has been previously registered.
5. Documents in the patient¿s medical record as appropriate.
6. Sends letters to the child¿s pediatrician and their parents, informing them that the child has been registered in accordance with NJ State Department of Health regulations.
7. Assures that registrations are routinely forwarded to the NJ State Department of Health.
8. Participates in the education of staff and physicians throughout the medical center in regulations of the State Department of Health.
9. Articulates standards to physicians, patients and families regarding the regulations as requested.
10. Conducts monthly medical record reviews to assure compliance with regulations. Resolves outstanding issues through working with appropriate leadership and team members.
11. Coordinates information and medical center staff participation for periodic on-site audits by the NJSDOH.
12. Assures that policies and procedures pertaining to the Special Children¿s Services Registry are current and in compliance with the standards.
13. Organizes quality assurance audit summations with the State Department of Health, assuring the appropriate individuals are included.
14. Develops and provides reports for the medical center as requested.
15. Other duties and/or projects as assigned.
16. Adheres to HMH Organizational competencies and standards of behavior.
Qualifications
Education, Knowledge, Skills and Abilities Required:
1. If an RRT, Associate's or higher degree in related field required; if an RN, BSN required; if an APP, Master's degree in related field required.
2. Graduate of an accredited program in nursing, physician assistant, nurse practitioner or respiratory therapy.
3. Excellent written and verbal communication skills.
4. Proficient computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms.
Licenses and Certifications Required:
1. NJ Respiratory Care Practitioner License and NJ Registered Respiratory Therapist Certificate or NJ State Professional Registered Nurse License or Advance Practice Nurse License or Physician Assistant License.
